RESOLUTION OF THE CITY COUNCIL OF THE CITY OF MANTECA, STATE OF CALIFORNIA, AWARDING THE REQUEST FOR PROPOSAL FOR OILS, GREASE, ATF, LUBE DELIVERY AND REMOVAL OF USED OIL AND CRUSHED FILTERES FOR THE CITY OF MANTECA TO HUNTS AND SONS INC., ENTER INTO A THREE-YEAR AGREEMENT FOR THE PURCHASE OF OILS, LUBES AND GREASE NOT TO EXCEED $55,000.00 ANNUALLY WITH TOTAL COMPENSATION NOT TO EXCEED $165,000.00, AND AUTHORIZE THE CITY MANAGER TO SIGN THE INITIAL AGREEMENT AND ASSOCIATED DOCUMENTS AND ANY AMENDMENTS OR EXTENSIONS THAT ADHERE TO THE CITY OF MANTECA’S PURCHASING POLICY WHEREAS, the City of Manteca Fleet Division maintains City vehicles which includes the purchase of oils, lube and grease for maintenance and repairs to the existing Fleet. This includes the process of disposal of used filters. The Fleet Division maintains all City Vehicles, including but not limited to, Police, Fire, Solid Waste, Water Resources, Operations & Maintenance Divisions, as well as Development Services, Engineering and Recreation; and WHEREAS, in August of 2022, Staff posted a Request for Proposal (RFP) for the purchase oils, lubes and grease to service the fleet. After the submittal deadline date of September 29, 2022 proposals were reviewed, and in early November, it was determined Hunts and Sons is the best fit for the City of Manteca’s tire needs; and WHEREAS, staff has determined the cost to be an average of $55,000.00 annually over the past three (3) years. Staff is projecting $165,000.00 for the (3) three-year attached contract; and WHEREAS, staff recommends that council authorize City Manager to sign the initial agreement and any amendments or extensions that adhere to the City of Manteca’s Purchasing Policy and are within the annually budgeted amount; and WHEREAS, the City Council has considered all information related to this matter, as presented at the public meetings of the City Council identified herein, including any supporting reports by City Staff, and any information provided during public meetings.
NOW, THEREFORE, BE IT RESOLVED, by the City Council of the City of Manteca, as follows:
The City Council hereby finds that the facts set forth in the recitals to this Resolution are true and correct, and establish the factual basis for the City Council’s adoption of this Resolution.
Award the Request for Proposal for Oils, Grease, ATF, Lube Delivery and Removal of Used Oil and Crushed Filters to Hunts and Son, Inc.
Enter into a three-year agreement with Hunts and Sons, Inc. for the purchase of oils, lubes, and grease not-to-exceed $55,000 annually with a total compensation not to exceed $165,000.
Authorize the City Manager to sign the initial agreement and associated documents and any amendments or extensions that adhere to the City of Manteca’s Purchasing Policy.
This Resolution shall take effect on the effective date immediately.
