Item #05
Date: July 5, 2022
To: Mayor and City Council
From: Dan Flores, Community Development Director
Jim Schaad, City Manager
Subject: Approve Revised 2022 Sapphire Group LLC Contract Recommendation:

Pass a Motion authorizing the City Manager 1) to revise and restructure the City’s contract with Sapphire Group LLC to add $16,000 for additional music entertainment for the 2022 Peach Festival and 2) authorize the Finance Director to make a supplemental appropriation of $16,000 to 10-110-5255 (Peach Festival Expenses).

Rationale for Recommendation:

City Council and Staff secured $16,000 as an additional sponsorship from Hard Rock Sacramento:

Casino and Hotel, specifically for entertainment, staging, sound equipment and sound engineers for the Peach Festival July 15-16, 2022. Sapphire Group, LLC is the contracted event organizer and at the time of the initial contract these funds had not yet be secured resulting in a contract adjustment.

Background:

The Marysville Peach Festival seeks sponsorships each year to support the event. Due to relationships and the positive reputation of the festival we can secure funding each year to support the event. This entertainment enhancement will help make the event a greater experience for all the participants and will be used to secure a second stage at the event, something that we have not been able to provide historically.

Discussion & Analysis:

A budget adjustment is necessary in the amount of $16,000 from Hard Rock Sacramento: Casino and Hotel not in the original contract and will be added to the original $5,000 allocated for music in the March 2022 contract. This will cover the music enhancement and banners leaving a remaining balance of $3,100 for any possible unforeseen costs (additional music needs, credit card fees, or increase in equipment rentals).

Item #05
Alignment with City Council Goals(s):

The proposed contract and resulting events are aligned with Goal #2: Expanding Economic Development Opportunities.

Fiscal Analysis:

The recommended action would result in adding $16,000 to the existing contract with Sapphire Group LLC and authorizing a supplemental appropriation to account 10-110-5255.
