SUBJECT: AUTHORIZE PURCHASE OF CITYWIDE COPIER/PRINTERS Background:
The City utilizes multi-function printers across various departments to support printing, scanning, and copying needs. Many of the City’s current devices are outdated, exceeding their useful life, or are experiencing increasing maintenance issues.
To replace the outdated devices, staff is recommending the purchase of new equipment through the Sourcewell Cooperative Purchasing Agreement Contract No. 112124 – KON through IBE Digital who is an authorized dealer of the necessary equipment. Seventeen of the existing units have been identified as requiring a replacement as a result, Table 1 on the following page summarizes the devices being recommended for replacement:

Due to current supply market volatility, and ongoing uncertainty of the impacts of international tariffs on the supply chain, the City has been advised that pricing may increase in the near future.
A delay on purchasing the replacements could expose the City to significantly higher pricing, longer lead times and limited product availability.
Fiscal Impact:
The total cost for the replacement of 17 multi-function printers is $153,600. Funding to support the cost has been included as part of the Fiscal Year 2025/26 proposed budget under each respective department.
