1. SUBJECT
Agreement with Intratek Computer, Inc. for helpdesk and desktop technical support.
2. SUMMARY
Intratek Computer, Inc. has provided helpdesk and desktop support services for the last five years.
This agreement authorizes one additional year.
3. RECOMMENDED ACTION
Approve a one-year agreement with Intratek Computer, Inc. in the amount of $344,413.56 for helpdesk and desktop technical support services; and authorize the Mayor and City Clerk to execute on behalf of the City.
4. FISCAL IMPACT
The total expenditure for this purchase is $344,413.56 and will be funded through Information Systems Operation (780):
780.1601.51670.00000 Other Professional & Consulting Services

6. DISCUSSION AND BACKGROUND
On August 13, 2019, the City Council approved a three-year agreement with Intratek inclusive of two one year options. The two one-year options were exercised. The fifth year of service concludes June 30, 2024. The original agreement provided for two desktop technicians and one helpdesk coordinator which continues unchanged for this agreement. The cost for the past five years which included a 3% inflationary escalation is as follows:

Annual $283,339.80 $291,840.00 $300,595.20 $309,613.60 $318,901.45 Monthly $23,611.65 $24,320.00 $25,049.60 $25,801.09 $26,575.12 This one-year agreement is for an annual cost of $344,413.56 with a monthly cost of $28,701.13 representing an increase of 8% over the prior year. The 8% increase reflects an adjustment that the actual cost of living increases of the past few years have exceeded the original standard three percent escalation.
Separately, staff anticipates an Information Technology Strategic Plan review and recommendation to occur during FY25. Approval of this one-year agreement will provide continued helpdesk and desktop services while awaiting the outcome relevant to the overall Information Technology service model.
Staff remain satisfied with Intratek’s services and recommend approval of the agreement.
