Task Order #2 between the City of Pacifica and The Davey Tree Expert Company for Tree Maintenance Services
RECOMMENDED ACTION:
Approve Task Order #2 between the City of Pacifica and The Davey Tree Expert Company for Tree Maintenance Services in the Public Right-of-Way and on City Owned Properties and Facilities to increase the Budget Authority by $50,000 for Fiscal Year 2021-22; and Authorize City Manager to execute the Task Order.

BACKGROUND/DISCUSSION:
The City of Pacifica has approximately 1,650 street trees and trees within City-owned properties. The City’s approved FY 20-21 Public Works operating budget for street tree and parks services included funding for tree maintenance. On April 5, 2021, the City issued a Request for Proposals (RFP) for Maintenance Services for Trees in the public right of way and for trees on all City owned properties and facilities. The work includes the pruning, cutting, removal, maintenance and planting of trees, including stump grinding. The objective of the RFP is to keep City trees in a safe condition.
On June 14, 2021, the City Council approved the Master Tree Service Agreement between the City of Pacifica and The Davey Tree Expert Company for Tree Maintenance Services and Emergency Tree Maintenance Services (Attachment 1), establishing a budget authority of up to $150,000 a year for Fiscal Years 2021-22, 2022-23, and 2023-24 .
City staff identified several other trees this Fiscal Year that are in need of immediate maintenance. There is budget to cover this additional work in the Street Trees operating budget. The City Manager recommends approval of Task Order #2 between the City of Pacifica and The Davey Tree Expert Company for additional Tree Maintenance Services (Attachment 2) by increasing the Budget Authority for Fiscal Year 2021-22 by $50,000, for a total of $200,000.

ALTERNATIVE ACTION:
Council may choose not to approve Task Order #2. However, this will result delayed tree maintenance and unsafe trees. Staff does not recommend this alternate action.
RELATION TO CITY COUNCIL GOALS AND WORK PLAN:
Approval of the tree maintenance service agreement is consistent with the following Council adopted Goal:
• “Maintaining a Safe Community” - This task order will help the City maintain its trees by pruning and trimming their branches, as well as provide emergency tree maintenance services during storms.
FISCAL IMPACT:
The work to be done under Task No. 2 will be implemented on a time and materials basis in a not to exceed amount of $50,000.
