PLACENTIA CITY COUNCIL AGENDA REPORT
Meeting Date: May 6, 2025
Submitted by: Samantha Byfield
From: Public Works
Subject:

Award of Contract to Colts Landscape, Inc., for Citywide Vine Trimming Services Financial Impact:

Fiscal Impact:

Expense: $87,046 Five-Year Contract Total
Budget: $96,920 Budgeted FY 2025-26 Operating Budget (103655-6115) Summary:

The proposed five-year agreement is for citywide vine trimming services. The scope of work includes trimming the block wall vines twice per year. This work was previously under contract with another vendor but was withdrawn from that contract due to a pricing discrepancy. Bids for a new vendor were publicly solicited on February 20, 2025, and nine bids were received.

After reviewing the bids, Colts Landscape, Inc., was found to be the lowest responsive bidder. Staff recommends that the City Council award a contract to Colts Landscape, Inc., in an amount not-to-exceed $87,046. Additionally, staff recommends including a 20% contingency in the amount of $17,409.20 to cover vandalism and additional unforeseen damages.

Recommendation:

3. Authorize the Interim City Administrator and/or his designee to execute all necessary documents, in a form approved by the City Attorney.
