CONTRACT SUMMARY
FROM: Ryan Stendell, Assistant City Manager
DATE: March 6, 2025
SUBJECT: Approval of Amendment to Professional Services Agreement with HR Green Inc.
____________________________________________________________________

Background:

HR Green Inc. has contracted with the City since 2021 for On-Call Engineering Plan Review. On-Call contracts are intended to supplement staffing in times of higher than normal development submittals and are used in lieu of hiring additional full time staff.

Since the retirement of our City Engineer, HR Green Inc. has been the primary source for plan check services.

Discussion:

Staff is requesting to increase the current contracted amount of $20,000 with HR Green Inc. to an aggregate amount of $80,000. On-call contracts are billed based on services rendered, which can fluctuate year to year based on the volume of development activity within the City.

Fiscal Impact:

Funds are available in 10131000-7806, which will be offset by the salary savings from the vacancy of the City Engineer.

3-3

CONTRACT SUMMARY
FROM: Ryan Stendell, Assistant City Manager
DATE: March 6, 2025
SUBJECT: Authorization for the City Manager and City Attorney to make non- monetary amendment to Maintenance Service Agreements with Vintage Associates, Inc.
____________________________________________________________________

Background:

Initially approved in 2022, the City Council authorized a contract with Vintage Associates, Inc. for citywide landscaping services. Additionally, in January of 2025, an additional contract was awarded to Vintage Landscaping for maintenance related to all Housing Authority owned properties.

Discussion:

Staff is requesting City Council approval to process minor amendments to the Scope of Services with both Vintage Associates, Inc. contracts with the intent to limit the scope of services to be in line with our standard maintenance contract. Changes are subject to final approval by the City Manager and City Attorney.

Fiscal Impact:

Staff’s proposal is a non-monetary change to an existing agreement, hence there is no fiscal impact related to this report.
