APPROVE THE THIRD AMENDMENT TO THE VEEAM SERVICE AGREEMENT WITH ILAND INTERNET SOLUTIONS CORPORATION AN 11:11 SYSTEMS COMPANY FOR SECURE CLOUD BACKUP FOR OFFICE 365 AND INSIDER PROTECTION FOR DELETED FILES FOR AN ADDITIONAL AMOUNT OF $51,729.48 AND TO EXTEND THE TERM THROUGH JULY 6, 2026
EXECUTIVE SUMMARY
iLand Internet Solutions Corporation (iLand) provides disaster recovery backup to the cloud and protection for deleted backup files and Office 365 backups. iLand Insider Protection and Cloud Backup for Office 365 enhance the City’s disaster recovery and cyber security posture and provide protection from internal and external threats. As an added security measure, all Insider Protection backups and Office 365 data will be stored in continental United States based data centers. The recommended action extends the existing Agreement through July 6, 2026 and adds an additional $51,729.48 to the overall cost.
BACKGROUND
The IT Department began using iLand’s secure cloud backup service in December 2019 and expanded its services to include Insider Protection and Cloud backup for Office 365 in April 2020.
The service has performed well, is efficient, and directly integrates with our backup software solution. iLand Insider Protection
Insider Protection for iLand Secure Backup as a Service provides improved protection against internal threats such as malicious deletion, and external threats including many types of ransomware.
Deleted files are automatically moved to an air-gapped directory that is not visible or accessible to the customer or available via public routing. Deleted files are retained in an isolated folder and can be saved and transferred back once the customer is ready to restore data. The folder functions as an isolated recycle bin for disaster recovery backups.
Cloud Backup for Office 365
iland Secure Cloud Backup for Microsoft Office 365 with Veeam is an “as-a-service” solution that provides complete backup and recovery for Office 365 data including Exchange Online, SharePoint Online and OneDrive for Business. Office 365 data is automatically backed up daily to iLand’s secure cloud, which has an unlimited storage quota and an unrestricted retention policy, plus a 100% uptime guarantee. Risk scenarios include:

· Accidental deletion - daily automatic backups of Office 365 data including mail, calendar and contacts to help protect against an accidental deletion · Retention Policy Gaps and Confusion - retain Office 365 data even if a user’s account is deactivated
· Internal Security Threats - mitigate the risk of critical data being lost or destroyed through malice or incompetence
· External Security Threats - defend against advanced email threats such as malware and ransomware
· Legal and Compliance Requirements - help users find, preserve, and retain data that might be required to satisfy a legal request or investigation
Extending the Agreement for the use of iLand Insider Protection and Cloud Backup for Office 365 enhances the stability and resilience of the City’s IT ecosystem and provides protection from internal and external threats.
COORDINATION
Information Technology staff worked directly with 11:11 Systems for the quote and contract. The City Attorney’s Office reviewed and approved the agreement’s Terms of Service as to form.
FISCAL IMPACT
The FY 2023-24 cost of $17,243.16 for the iLand services will be paid from the FY 2023-24 IT Department Internal Service Fund and is included in the IT Department FY 2023-24 core annual operating budget. Funding for Years 2 and 3 of the agreement will be provided in future budgets.
