TITLE
AUTHORIZE THE PURCHASE OF THREE (3) FUJITSU FI-7600 AND TWO (2) FUJITSU FI-7700 COLOR DUPLEX SCANNERS FROM INSIGHT, INC. THROUGH UTILIZATION OF A COOPERATIVE PURCHASING AGREEMENT, SPECIFICALLY OMNIA CONTRACT #4400006644, FOR AN AMOUNT OF $42,173.75
EXECUTIVE SUMMARY
The recommended scanner refresh is part of the IT FY 2022-23 equipment replacement program.
The new Fujitsu FI-7600 and FI-7700 scanners will replace existing Fujitsu scanners in the Police Department and City Clerk’s Office. The scanners are certified for use with the City’s enterprise LaserFiche Document Imaging System. Three years of Fujitsu FI-7600 Scancare maintenance and three years of Fujitsu FI-7700 extended service maintenance is included in the cost of the scanners.
BACKGROUND
The Fujitsu high volume scanners are mission critical devices in both the City Clerk and Police Departments. Time sensitive documents are routinely scanned and made available to staff and to the public, as applicable. Scanning documents ensures City’s records are maintained in LaserFiche, the City’s enterprise document management system.
Fujitsu scanners have historically performed very well, with little to no downtime. Scancare maintenance from Fujitsu has ensured that any issues that are encountered are evaluated and solved quickly, minimizing scanner downtime. The Police Department, IT Department and City Clerk’s Office have been satisfied with the performance and reliability of the Fujitsu scanners the past
3.5 years, and are confident in the ability of the updated models to service their needs effectively.
COORDINATION
This purchase has been coordinated between the IT and Financial Services Departments.
FISCAL IMPACT
The scanner cost of $42,173.75 is funded from the IT Internal Service Fund in the FY 2022-23 adopted annual budget and was approved as part of Decision Package #17 - IT Equipment Replacement Program.
