CITY OF REDONDO BEACH
RFP# 2223-004
Facility Management and Operation of the
Veterans Park Historic Library/Community Center
The City of Redondo Beach partnered with Made by Meg will create the ultimate unforgettable visitor experience! We are passionate about the opportunity to collaborate by bringing the beauty and history of the Library to life through community, food and art. We appreciate the rich historical significance, the cultural impact and the values that the Library imparts to the surrounding community in Redondo Beach. Drawing on
our experience working with cultural destinations and venues, we truly understand the unique attributes of the Library and the care necessary to maintain each glorious detail! We look forward to making the Library the pride of Redondo Beach and a wonderful place for community events, meetings, art exhibitions, weddings and more!
This project is personally and professionally very relevant for our Company President, Megan Walker. Made by Meg opened its doors just blocks from this historic landmark in 2013 and has called the City of Redondo Beach home since then. We are proud to be a part of the Redondo Beach business community.

In addition to almost a decade of business ownership in Redondo Beach, Meg’s grandfather, Chuck Hall is a World War II Veteran and his commemorative plaque for service is in the Veteran’s Memorial. Meg and her now husband, Anthony Walker, met
at the Redondo Beach Dog Park. Redondo Beach is central to us in many ways and it would be an honor to continue this legacy with the stewardship of the next chapter at the Historic Redondo Beach Library.

PROPOSAL FORM C

PROPOSED FACILITY IMPROVEMENTS & MAINTENANCE RESPONSIBILITIES Please describe your proposed facility improvements and maintenance responsibilities by completing the following. Please include additional pages, as needed, clearly marked PROPOSAL FORM C at the top.

1.*What are you proposed facility improvements? Please detail whether they would need to be completed prior to the opening of the Facility.

Made by Meg is proposing an exciting renovation of interior spaces that will pay homage to the history of the Library and elevate the visitor experience! We would prefer to complete the renovations prior to opening.

GRAND HALL AND MEZZANINE
The gorgeous renovation will include new drapes, carpet, baseboards, paint and sconces. Refresh of the historic chandeliers. Rework and add interesting detail to bookshelves with books, historical pictures of RB, LED candles, etc. Set of beautiful, stackable new chairs for events.

SMALL ROOM MEETING SPACE
Offer a smaller meeting space in the southwest side room on the main floor that includes the upstairs stairwell.

BATHROOMS
Multi color tile on bath floors with a border design. New sinks/vanities, faucets and mirrors. Flush-mount lighting. Subway tiles on bathroom walls up to 48”, wallpaper above.

SOUTH WEST PARTNER SUITE
New ceiling tiles, light fixtures, carpeting and baseboards. Add wall detail with a painted panel design molding. Reupholster the existing fabric wall. New window treatments and décor – candles, flowers, etc. Long row of vanities with mirrors.

Coordinating comfy furniture - chaise lounges, sofas, tables, settees, etc.

NORTH WEST PARTNER SUITE
New ceiling tiles, light fixtures, carpeting and baseboards. Add wall detail with paint or panel molding. Window treatments and décor – plants, candles, etc. Row of locker-style open closets. Full length mirrors and coordinating comfy furniture - chairs, sofas, tables, settees, etc.

WET BAR (1ST FLOOR)
New, functional hallway wet bar with cabinets, countertop and sink.

STAIRS
Interior stairs need some railing replacement and upgrade to meet current code for size and terminations. The cost of some railing replacement and upgrade would be borne by the City as they are code and structure issues. It makes sense to do the repairs when the carpet is replaced (at our cost). Our contractor estimated the cost of some railing replacement and upgrade at $6,900.

GENERAL MANAGER OFFICE
We would like to outfit the room near the downstairs stairwell on the main floor as an office for the General Manager and Facilities & Maintenance Supervisor.

KITCHENS – BASEMENT & MAIN LEVEL BEVERAGE/PREP KITCHEN
Made by Meg is also proposing a refresh of the basement kitchen and the installation of a beverage/prep kitchen on the main level. We understand the kitchen/s may need to go through plan check with the LA Dept of Public Health. Our proposed refresh and renovation is contingent on the plan check approval.

2. Please describe your initial investments and proposed renovation of the kitchen.

MBM proposes this investment as our capital expenditure:
• $231,000 for renovations
• $108,000 for kitchen upgrade & install of a beverage/prep kitchen • $12,000 for a liquor license
We also propose $28,000 in opening expenses, not included in capital expenditure.

KITCHENS – BASEMENT & MAIN LEVEL BEVERAGE/PREP KITCHEN
Made by Meg proposes a refresh of the basement kitchen and the installation of a beverage/prep kitchen on the main level. We understand the kitchen/s may need to go through plan check with the LA Dept of Public Health. Our proposed refresh and renovation is contingent on the plan check approval.

To make the vision come to life we have enlisted the interior design services of Dannielle Albrecht Designs and licensed contractor (#947644) Ed Kelsey of Historic Buidling Services Inc. To make the kitchen serviceable for our use we are engaging Robert Ginsberg & Associates to provide design consulting services. We established a budget for the renovations, kitchen refresh design and equipment and beverage/ prep kitchen design and equipment. The budget is intended as our maximum expenditure and it may not all be used as we do not know what equipment, floors, etc. are in good working order.

3. Please describe your ongoing maintenance plan for the Facility including any specialized equipment that you anticipate having at the Facility.

WEEKLY MAINTENANCE
Our plan for ongoing oversight of FF&E will begin with our General Manager whose primary weekly role starts with managing by walking around and reporting utilizing our weekly facilities assessment checklist which requires checking our front of house equipment (main hall, smaller meeting room, mezzanine, beverage/prep kitchen, vestibule, bathrooms, downstairs suites and the back of house).

Weekly facilities assessment checklists will be submitted to the Director of Operations and transparency with our liaison at the City is paramount.

Event Cleaning is the responsibility of the MBM Catering staff at the conclusion of each event. All spaces are to be left better than they were found.

The Made by Meg catering team will do the following at the completion of each event:
• Clean the kitchens thoroughly to include floors, surfaces, equipment • Remove all food
• Take all trash out to the dumpsters double bagged and tied tightly • Remove all rental linens from the tables and bag them in rental bags for pick up • Remove and organize in scullery all rented table top items (Dishes, flatware, glasses, barware) for pick up
• Ensure all spaces have been cleared of florals and decor • Stack Chairs
• Stack Tables into storage areas
Post Event Maintenance will be assessed following each event to see if any damage was caused due to client or guest usage. Anything more than normal wear and tear will be deducted from the client’s security deposit as outlined in the client event contract. This includes but is not limited to large carpet stains, broken equipment, unreasonable use of facilities or equipment or damage to the facility.

Regular Facilities Maintenance will include vacuuming of the carpets, cleaning all surfaces, cleaning the bathrooms, readying all spaces for visitors and touring opportunities. Our goal is to always be ready to receive our next guest. Regular kitchen maintenance will include ensuring all surfaces have been sanitized, refrigerators are kept clean and sanitized and dishwashing machine is serviced regularly. We utilize a window washing service for outdoor and indoor window cleaning and power washing (when needed).

Regular Facilities Maintenance will be performed by our onsite Facilities and Maintenance Supervisor to ensure readiness for events, tours and city engagement.

When additional or deep cleaning is required for spaces or equipment, professional cleaning companies will be scheduled by our General Manager.

QUARTERLY & YEARLY PREVENTATIVE MAINTENANCE
Quarterly preventive maintenance schedules with 3rd party companies as well as regular unannounced visits by EcoLab & the LA Health Department will ensure sanitation and help us stay on top of the valuable hard assets and compliance we need to succeed.
• EcoLab - Quarterly Servicing
• LA Health Department every 3-4 months
• Fire Extinguisher Filling & Calibrating - every 6 months • Hood Maintenance - Yearly Cleaning/Servicing
• Deep Cleaning of the Carpets
Follow-up, Monthly reports will also be communicated regularly to the Made by Meg Headquarters & The Director of Operations on our team who own equipment and resources to ready the space to dazzle our guests.

We have budgeted a Facilities and Maintenance Supervisor who will be onsite at the Library. This supervisor will work with and report to the General Manager of the Library. The supervisor wages are included in Labor on the proforma. We have budgeted for cleaning supplies, equipment maintenance & repair, window washing, pest control and other outside services. These costs are included in Other Direct Expenses on the proforma.

B. PROPOSER’S EXPERIENCE AND CAPABILITY
a. Describe your experience in developing and operating a similar multipurpose facility that includes a focus on the City’s history and the arts; food service operations; and management of indoor and outdoor spaces in a cohesive manner.

MBM is the exclusive operator of La Venta Inn, a California Point of Historical Interest Property. During the 2020 pandemic the previous operator shuttered and an opportunity arose! Meg was in touch with the owners as fast as she could find their phone number! The lease was finalized in June 2021.

The owners had a commitment to undo some modernizations that had been added by the previous facility managers, and to generally freshen up the space. For MBM the transition was unique, in the sense that there was no pressure to execute contracts. “A lot of people wouldn’t update it the way I updated it, because they’ve got the next event on the calendar. I’m going to be working with this property for a long time. So I want to make it right.”
10 11
Right meant a return to the original look of the La Venta, which had been built as the sales office for the entire Palos Verdes Estates tract. That’s reflected in the name - La Venta is Spanish for ‘The Sale.’ The Spanish Revival exterior is almost exactly the same as when it was built, except for the added lanai. The lanai was originally an outdoor patio that was enclosed years ago for a dining room. What Meg enhanced was on the inside, and some of it was more work than expected. Probably 20 layers of paint came off one of the doors and 5 layers of linoleum on the bathroom floors!
Meg was “committed to preserving the appearance of the iconic landmark and maintaining its notable lush and plentiful landscaping.” For a refresh of the interior of the building, she partnered with local interior designer Dannielle Albrecht. “The interior changes are all cosmetic and honor the property’s long history,” Albrecht said. The paint in the ballroom was shiny, almost yellow orange, and it had to be scaled off by hand. Now it’s a beautiful matte white, the way it was when La Venta was built. These are upgrades that don’t take long but feel significant when you’re trying to sell an upscale event venue.

MBM spent over $400K in capital improvements, historically significant design and restorations. All completed in 3 months!

“We dropped off some Made by Meg cookies to the people who live nearby, along with a letter to share what our plans are, and we’re very aware that we’re a part of the neighborhood. I know that to many people here, La Venta didn’t feel like something that was a part of the city. Locals didn’t feel welcome, and that’s because La Venta was busy with private events. And I respect that, but I love the idea of inviting in neighbors who may not have a wedding coming up, they just want to come to something historic that’s a big part of their town. We have community events where we offer something exciting that they can come and join us.”
Those events wouldn’t be complete without a varied and interesting menu. “We make our best dish for between 250 to 1,000 people at the exact same time, the exact same temperature and looking exactly the same. That’s why I invest in the best kitchen appliances and accessories. My team is trained to get down and look at the pilot light! I’ve fixed more ovens than I can count - that’s part of my job.” Meg experienced a sense of wonder when she visited the kitchens at La Venta, which have upgraded fixtures from the ones originally installed but bear the signs of nearly a century of use. The Made by Meg headquarters in Redondo is about 4,000 square feet and has 11 fridges. La Venta has two. The Made by Meg catering style is to get everything as ready as possible and send it out to be finished on site, especially the things that are a la minute. All of our food will be prepared by our culinary team here, in Redondo, and then sent to La Venta for finishing.”
Meg had no concerns about finding clients for La Venta, because requests started pouring in as soon as it became known she was operating the space. “As soon as I signed the lease, my phone started blowing up. People are really interested in the neighborhood gem, and it’s an important part of our history in Southern California. La Venta is going to be 100 years old in 2023, and she has been in service for many, many years. I’m just the next person continuing the legacy. They’ve done extraordinary things here.”
La Venta was voted “Best New Venue in
LA 2022” by California Wedding Day.

Also, La Venta was voted Best New
Business of the Year by the Palos Verdes
Peninsula Chamber of Commerce. Signed
accomodation certificates were issued
to us from Representative Ted Lieu,
Senator Ben Allen, Assemblymember Al
Muratsuchi and Supervisor Janice Hahn.

And here are some extraordinary Before
& After pictures of La Venta….

To make the vision come to life we have enlisted the interior design services of Danielle Albrecht Designs and licensed contractor (#947644) Ed Kelsey of Historic Buidling Services Inc. To make the kitchen serviceable for our use we are engaging Robert Ginsberg & Associates to providing design consulting services. We established a budget for the renovations, kitchen refresh design and equipment and beverage/prep kitchen design and equipment. The budget is intended as our maximum expenditure and it may not all be used as we do not know what equipment, floors, etc. are in good working order. This budget will be part of our capital expenditure.

MBM proposes this investment as our capital expenditure:
• $231,000 for renovations
• $108,000 for kitchen upgrade & install of a beverage/prep kitchen • $12,000 for a liquor license
We also propose $28,000 in opening expenses, not included in capital expenditure. 28 F.D

D. OPERATIONAL PLANS
a. Facility Usage

1. Provide a detailed description of the proposed use(s) of the Facility including a comprehensive listing of all potential partners that would address the City’s goals. Include conceptual plans that designate how you envision the Facility to be used and made available to the public both midweek and on weekend dates.

Our General Manager is skilled at scheduling, able to pivot and very nimble! We’d love to provide opportunities for various Redondo Beach community groups to enjoy the Historic Library. We anticipate art shows and exhibitions (Friends of Redondo Beach Arts), musical events, paint & pour, workshops, RB group meetings, official city events, weddings, celebrations and much more! Of course, this is all contingent on CUP approval, if required.

Midweek and weekend dates will be recognized with a pleasing balance of community events/meetings and celebrations. MBM would work within insurance and security guidelines to define the optimal days and hours available. We envision community organizations meeting weekdays and week evenings. Events for the community would probably be both weekdays and weekends. Special events - not open to the whole community - mostly weekends. MBM anticipates the community enthusiastically selecting the Historic Library as a location for celebrations on the weekends. These would include celebrations of life, birthdays, weddings and more.

At La Venta Inn we support community-driven events like the Peninsula Education Foundation, local elementary school fundraisers and public events. MBM offers lively seasonal happenings designed for locals to come and enjoy the beautiful location of La Venta and celebrate creatively. We hope to do the same at the RB Library!
Community events at the Library, presented by Made by Meg, will celebrate the unique landscape, sea view and rich cultural and architectural assets of the Library.

These exciting celebrations will create hubs that draw in the community to gather and enjoy the library throughout the year.

We would like to work with the RB Public Art Program and the RB Historical Museum to celebrate local art at the Library through exhibits, classes and semi-permanent art installations. MBM would love quarterly rotating art on the mezzanine walls! In the proposed marketing calendar we will create a compelling combination of community events. We will also manage complementary integrative social media postings with dynamic rotational and shareable content. Our team is poised and excited to create an amazing lineup of thoroughly satisfying (and thoroughly Instagrammable!) moments.

38 2. Describe how you would envision the availability of food service to users of the facility in both a daily and private event capacity, if applicable.

Though Made by Meg would love to offer a daily café service it isn’t economically feasible. We hope to involve the community through curated events with food throughout the year (as mentioned above)!
Facility users holding meetings and events will love The Daily Table catering menu (15 or more).

Thereby enabling on-demand food service and optimizing food preparation for us as the concessionaire.

For private events: Made by Meg Full Catering Menu Available Here! Fig Tree Café –replacing the south, fig-facing window with doors leading to a deck built west of the fig tree would allow for a lovely seaside café. The café would be open based on demand.

We envision these times to include art exhibitions, musical events, paint & pour, workshops, RB group meetings, etc. This is a tiered sales option pending CUP and Coastal Development Permit.

In addition, MBM will schedule pop-ups to provide unique and fun food & drinks customized to events happening at the Historic Library. Some of our local partners:

1. Describe your recommended fee schedule for rental of the Facility.

Describe the method by which pricing would be discounted for Redondo Beach residents.

We would utilize the “demand pricing” model. This allows for higher facility rental fees on higher demand days and dates through the year. For example, the rental fee would be higher for a Saturday night wedding than a Monday night wedding.

Made by Meg will offer a 5% facility rental fee discount to Redondo Beach residents!

4. Describe your plan for the sale of alcoholic beverages including sample prices for all beverage items.

Link to: Made by Meg Bar Service Menus

5. Describe the method by which pricing will be discounted for City events.

For occasional official City events the Library facility will be made available free of charge Monday – Thursday and Fridays 9:00 am – 12:00 pm. And, we will offer catering as non-commissionable with a discount equal to the agreed upon commission.

6. Describe the method by which pricing will be adjusted during the life of the contract, if applicable.

Pricing would be adjusted yearly according to cost-of-living changes using the Personal Consumption Expenditure price index.

7. Describe any additional services you will provide as part of the food service operation.

In addition to services mentioned in Facility Usage (D. a. 1.) we would also like to provide improvements to the library facility. As Made by Meg establishes the Library as a community gathering venue we’d like to put money back into the Library! We propose additional improvements to the Library based on sales thresholds. In a calendar year (January – December), sales (Venue + Catering) must reach the following levels to earn the described improvements:
$3M annual sales we’d like to add a single user water closet style bathroom to the main floor in the room near the west exit.

At $4M yearly sales - Fig Tree Café deck build out. This is contingent on the appropriate commission/s approval.

At $6M yearly sales – Remodel the 2 closets at the main entrance into Single User Water Closets.

d. Marketing Plan

1. Provide a marketing plan describing how you intend to promote the Facility and the services offered therein. Included within the marketing plan should be a proposed marketing budget.

SOCIAL MEDIA MARKETING
At the heart of our marketing approach is our social media strategic marketing plan. We recognize the importance of an invigorating road map for the entire year.

Strong presence on social media platforms creates a loyal following of existing and potential visitors. We track our success (and failures) to continually revise and improve our promotions and relevance to develop a digital strategy. Our profile of Library details, community & social events and weddings will be a compelling and dynamic social media presence!
• Development of photography assets to promote community and social events at the Library
• Cross promotion in all newsletters, mailings, and general marketing materials created by the City of RB where possible/applicable.
• Creation of media and marketing materials - press releases, media alerts, eblasts, collateral, signage
• Microsite design, development and content creation
• Development and design of social media content and paid campaigns

NETWORKING
Made by Meg is an award-winning catering business skilled at promoting and growing operations. When we took over La Venta Inn we doubled revenue within a year. Through a considerable investment in community and venue we are on track to triple revenue within this calendar year.

First and foremost, we believe that successful events speak for themselves and spur growth organically.

As one of the preeminent event caterers in LA, we have a broad network of event planners and influencers — and we have an extensive social media presence that we are skilled at leveraging. Through our networks and social media, we field over 600+ calls/online leads per month. This strength will enable us to drive energy and interest in hosting and attending events at the Library. 45 MBM will create a compelling calendar of social media postings and be an on-site presence at the library. We’ll manage integrative social media with constantly changing content and visuals.

MADE BY MEG BRANDED EVENTS
We’d love to host a MBM Library event where we’d invite industry leaders to a beautiful seaside luncheon with the aim of bringing more catering events to the Library. In the past MBM branded events have resulted in a 40% increase in catering events booked at a particular venue!

REDONDO BEACH HISTORIC LIBRARY EVENT GUIDE
MBM will create a Redondo Beach Historic Library Event Guide, which will serve as a visual storytelling of events at the Library. Filled with high-end photography and meaningful narrative, this tool will allow clients to conceptualize the event of their dreams! Link to: La Venta Inn Wedding Guide

VENUE BOOK LISTING
One of our most effective selling tools is our exclusive Made by Meg Venue Book, which is used by all of our social media followers and event planner network groups. The link to this resource is promoted in the signature of every email that we send. As an exclusive Made by Meg partner, the RB Historic Library will be guaranteed prominent placement in the Venue Book. To showcase the beauty of the library as a venue, we will stage event photos and ethereal seaside images to be included in this digital publication.

Link to: 2023 Preferred Venues
MBM plans to devote 2.5% of sales to the marketing budget. This is reflected in Other Direct Expenses on our proforma. In year 1 we expect the marketing budget to equal $31,900!
46 2. Provide at least two (2) examples of past advertisements you developed to promote similar facilities and their services.

Made by Meg collaborated with Celebrate Wellness - benefiting Cancer Support Community Redondo Beach - at South Coast Botanic Gardens for their 2021 event. We underwrote healthy food and drinks for the event. As wellness was the theme, the delicious choices were vegan, vegetarian and/or gluten free, served in sustainable disposables. As a side note, we also provided La Venta branded water bottles for an ingenious bit of cross-promotion!
We work with influencers to bring in new social media-savvy business. At Catalina View Gardens we sent personalized gift sets to influencers. When Catalina View Gardens or Made by Meg was tagged or posted, the influencer was entered in a raffle for a weekend at Terranea!! Again, cross-promoting and supporting the community!
Made by Meg held a branded marketing event at Malibu Rocky Oaks. We invited 50 industry leaders to a beautiful winter luncheon with the aim of bringing more catering events to Malibu Rocky Oaks. Our participants loved the event so much Made by Meg saw a 40% increase in catering events booked at Malibu Rocky Oaks! An astonishing secondary benefit was that Influencers were so impressed and active that Malibu Rocky Oaks saw a huge jump in other events contracted! Made by Meg Moveable Feast was a pop-up Cuisine + Cocktail series of events in Los Angeles held at La Descarga and Roosevelt Hotel. It was an innovative, ticketed event that created a new audience for Made by Meg resulting in great press coverage = a big jump in business! Some very happy customers!!!

3. Provide a sample (if applicable) of any special logo or color scheme you intend to use at the Facility.

MBM is excited to create a
unique logo for the Library!
Sample color palette at right.
47 e. Customer Satisfaction Program

1. Describe the method you will use to measure user satisfaction regarding products and services obtained at the Facility.

Customer Service is the lifeblood of our organization. We take careful steps to ensure that we have the tools in place to manage customer service and we then measure satisfaction as the summation of our customer service tools.

OUR CUSTOMER SERVICE STANDARDS ARE INCORPORATED INTO ALL TRAINING AND COMMUNICATION. WE STRIVE TO:
• Get to know our guests and focus on their needs
• Treat everyone we interact with, including other staff members, as a guest • Create positive connections and interactions with customers • Use a “can do” approach by focusing on how much and how best we can help each guest rather than on what we can’t do or how difficult it will be • Be solution oriented
• Be a team member to count on
• Demonstrate the basic principles of service: friendliness, helpfulness, respect, courtesy, honesty and timeliness
• Serve others the way we would like to be served
• Provide consistent service to all our guests and go one step beyond what the guest expects
• Maintain a positive attitude
• Communicate respectfully and effectively, both verbally and non-verbally Guest Feedback is critical and our relentless pursuit to guest satisfaction can only be realized if we listen.

Any feedback is responded to within 24 hours and if needed, a recovery gesture extended. We do not subscribe to the philosophy “you can’t make all of the people happy all of the time”, we simply must endeavor to make everyone who patronizes our business completely satisfied.

Some of the methods we use:

COMMENT CARDS
We utilize comment cards both printed and electronic to continually receive guest feedback which is critical to our success.

SURVEYS
We will implement an online feedback tool. We want to make it easy for our guests to give us their opinion. Once the “submit” icon is clicked an email is sent to the management team. Again, a response is due by the close of business and where applicable, corrective action taken.
46 FOCUS GROUPS
We will work with the City to establish annual Focus Groups to provide feedback on behalf of our teams.

MANAGE BY WALKING AROUND
The management team is on the floor throughout the key hours to speak to guests as they enjoy the Library. It creates a relationship with our guests and provides valuable feedback

2. Describe your method of dealing with customer complaints regarding products and services obtained at the Facility.

Our company hires true ‘hospitalians’ and endeavors to make serving our guests and the community our top priority. Our staff are trained to delight our guests and “go the extra mile.” All of our employees are empowered to address the needs of our guests and fellow team members. Every guest is greeted immediately and recognized.

We use the acronym ‘SNAP’ to describe our customer service action plan.

Sense of Urgency - In an effort to delight our guests, we seek to anticipate our guests’ needs. Sense of urgency applies to our guests and to fellow team members. We have found over the years that if we foster an environment where we operate as a team, our guests and team members will benefit. No task is “not my job”! If additional support is needed, there is always a manager on duty.

No Excuses - We do not make excuses to each other or to guests; we make it right.

Mistakes will happen, but how we approach these mistakes will set us apart and delight our guests. Teammates take responsibility for their mistakes and rectify them immediately. Forgiveness of fellow team members is paramount.

Attention to Detail - We pride ourselves on our attention to detail in our uniforms, flavor profiles of our food and true hospitality to ensure every guest has a WOW experience.

We also take cleanliness very seriously and take pride in our stellar sanitation ratings through the health department.
• Checklists would be in place for opening, midday, closing and weekly cleaning and all must be completed every day.
• Cleaning the library requires taking inventory of the entire space and ensuring continuity, fire safety and thorough top to bottom sanitizing to ensure the health and safety of our guests and teammates.
• All areas will all be refreshed and organized throughout the day to ensure cleanliness and consistency of finishing touches.

Pride of Ownership - We are proud of this company and every extension of service is an arm of our brand. We are excited to create a positive environment with innovative and delightful food to serve the community with style. We pride ourselves in great 48 49
customer service and train our team to “go above and beyond.” We regularly receive positive feedback that our staff is kind and attentive. We recognize that while we teach this in our staff training, this also must be adopted as their own pride in what they do. Our consistent ability to exceed our guests’ expectations will gain us highly satisfied repeat customers!

3. Include any reporting methods to the City regarding the proposed Customer Satisfaction Program.

MBM would like to schedule quarterly meetings with our City liaison to discuss customer satisfaction reports.
f. Maintenance Plan

1. Provide a maintenance plan indicating schedules for all routine maintenance functions and for all proposed Concessionaire maintenance responsibilities indicated on Proposal Form C.

WEEKLY MAINTENANCE
Our plan for ongoing oversight of FF&E will begin with our General Manager whose primary weekly role starts with managing by walking around and reporting utilizing our weekly facilities assessment checklist which requires checking our front of house equipment (main hall, smaller meeting room, mezzanine, beverage/prep kitchen, vestibule, bathrooms, downstairs suites and the back of house.

• Clean the kitchen thoroughly to include floors, surfaces, equipment • Remove all food

• Los Angeles Department of Public Health unannounced inspections typically every 3-4 months
• Fire Extinguisher Filling & Calibrating - every 6 months • Kitchen Exhaust Hood Maintenance - Yearly Cleaning/Servicing • Deep Cleaning of the Carpets

These costs are included in Other Direct Expenses on the proforma.

g. Parking Plan

1. Describe in detail how you expect to provide parking for visitors to the Facility, both during midweek and weekend usage of the facility if visitor attendance is expected to fluctuate. The circle drive adjacent to the building may be used for valet service drop-off and pickup for Facility events. Include projections of number of vehicles generated by various types of events.

We have several great solutions for parking! We expect vehicles to carry 2 passengers on average. So, we calculate the number of parking spots needed at 50% the expected guest/visitor count.

1. Use of the First United Methodist Church parking lot. This lot holds 55 cars.

We expect this to be sufficient for events with an expected visitor/guest count of up to about 110. MBM has an agreement with Ernie Valenzuela of First United Methodist Church. The lot is close enough that visitors/guests can walk to and from.

2. Valet service through AMPM Valet Parking using the First United Methodist Church lot. This would be for up to 55 cars and visitor/guest count of about 110.

3. For events with an expected visitor/guest count of over 110 we would offer AMPM Valet Parking or Premiere Valet service and use another lot in addition to the First United Methodist Church parking lot. Premier Valet will locate and provide the additional lot.

2. Provide copies of any agreements you have with other parties with regard to your parking plan.

Below are copies of agreements with AMPM Valet Parking, Inc. and Premiere Valet Services, Inc.

E. FINANCIAL RETURN TO THE CITY
52 53
a. Complete the attached Proposal Form B which provides information on the percentage of gross receipts to be returned to the City for all commercial activity conducted at the Facility including food and liquor sales; off-site services; and miscellaneous sales made at the Facility. Miscellaneous sales shall include, but not be limited to: equipment rentals, flowers, photographic, valet parking services, etc. Additionally, proposals should also include a minimum annual guaranteed rental fee paid by the Concessionaire to the City.

FEES
20% of Venue Rental Fees and 12% of Catering (Meetings, Special Events, Weddings & Celebrations minus gratuity, staff & tax) will be paid to the City of Redondo Beach.

Minimum annual guaranteed rental fee is $175,000 in years 1-3 and goes to $200,000 for years 4-7.

INVESTMENT
MBM will contribute a capital investment of $351,000 to fund the renovation of the library and upgrades to the Library kitchens which include design, equipment, plumbing, etc. Our investments are outlined within the proposal in the diagrams, mood boards and descriptive narrative to reflect visual and functional upgrades to the Library. All are well thought out enhancements that will elevate the food and beverage experience to attract and drive new and repeat visitors. A refresh of the beautiful Library spaces will aid in functionality as well as providing clean and “like new spaces” for guests. Our carefully considered improvements are the primary catalysts we believe will take us to the next stage of growth and community impact. These upgrades coupled with our talented and hospitable team will deliver the experience the City is looking for!
In addition, MBM will contribute $28,000 in opening expenses which include catering smallwares, training, uniforms, computers, office supplies, web design and a carpet cleaner (for weekly/monthly cleaning).

The capital investment and opening expenses total $379,000. The capital investment of $351,000 will be amortized using the straight-line financing method of accounting over ten years and the City will reimburse MBM for the unamortized balance in the event of early termination.
b. Provide operational pro-forma reflecting estimated revenue versus anticipated expenses for four, one-year periods accounting for years one to four of the contract.

See attached proforma
