PROCUREMENT DOCUMENTS

EXECUTIVE SUMMARY
In February 2024, staff in the Public Works Fleet Division issued an Invitation to Bid for new Ford Maverick XL Hybrid trucks for the Public Works and Community Development Departments. Colley Auto Cars, Inc. was the successful bidder and performed well throughout the acquisition process.

Colley has offered reduced pricing for purchase of an additional Ford Maverick XL Hybrid truck to replace a 2008 vehicle used by the Public Works Department, Pier Services Division. It is recommended that the City Council approve the purchase.

BACKGROUND
In June 2023, the City Council approved Decision Package #38 - Carryover Vehicle Replacement Purchases from FY 2022-23. Decision Package #38 allocated funding for vehicles that the City planned to purchase in FY 2022-23 but had not yet been able to procure due to supply-chain issues and market inventory shortages. The DP included funding for a new Pier Services Division truck, to replace Unit #261, a 2008 Ford Ranger that is past the end of its useful life.

The City issued the Invitation to Bid for new Ford Maverick XL Hybrid trucks on February 19, 2024.

The successful bid came from Colley Ford. Unfortunately, a vehicle to replace the Pier Services Division truck was not immediately available for purchase at the time, and the City Council approved carrying the funding for the new vehicle into the subsequent Fiscal Year. Colley recently alerted staff that a new truck, that meets the replacement specifications, is available. Staff recommends purchasing the truck from Colley Ford, at a reduced bid price of $34,005.38.

COORDINATION
The Public Works Department coordinated this report with the Financial Services Department and the City Attorney’s Office.

FISCAL IMPACT
Funding for the purchase, totaling $34,005.38, is available in the Public Works Fleet Vehicle
