DISCUSSION:

City staff is requesting that the City Council adopt a resolution authorizing the approval of as-needed contracts for vehicle body repair services from a pre-qualified list of contractors. Vehicle body repairs for City-owned vehicles are frequently required; however, these repairs cannot be performed by Fleet Maintenance staff due to the specialized nature of the work.

In response to this need, a Request for Proposals (RFP) for Vehicle Body Repair Services was publicly issued via the BidsOnline system on March 6, 2024, and remained open for two weeks, closing on March 20, 2024. A total of 182 registered vendors were automatically notified of the RFP posting. In response, three bids were received, with one of the bidders being a City of Richmond business. The following contractors were deemed responsive and qualified to perform the required services:

ANDY’S AUTO BODY (RICHMOND, CA)

FALCON COLLISION (CONCORD, CA)

RON DUPRATT FORD (DIXON, CA)

It is in the best interest of the City to establish contracts with all three qualified vendors.

The recommended vendors have demonstrated the necessary qualifications and capacity to perform the required repairs.

Based on the results of the competitive bidding process, Fleet Maintenance staff recommends the approval of as-needed service contracts with Andy’s Auto Body, Falcon Collision Repair, Inc., and Ron DuPratt Ford. These contracts will provide the City with reliable and efficient repair services for its fleet of vehicles, in compliance with the City’s procurement policies and procedures.
