2 Purpose
The City of Richmond is soliciting Quotes for (RFQ’s) for Bus/Transportation companies that are interested and qualified to provide transportation for children to various locations during summer camp. Since our programs are inclusive, transportation must be able to accommodate individuals with disabilities. Our summer program runs for 8 weeks during the summer.
Receipt of Quotes
One copy of RFQ must be submitted no later than 12:00 p.m. March 7, 2025 to:

Scope:
1. The Contractor shall provide safe transportation for the participants of the City of Richmond Summer Camp programs.
2. The Contractor shall provide all insurance documentation required.
3. The Contractor shall provide a City of Richmond business license.
4. The Contractor will agree to schedule all requested trips by May 16, 2025.
5. Services will be provided at the following locations:
- Booker T. Anderson, 960 South 37th Street
- Nevin Community Center, 598 Nevin Avenue
- Parchester Community Center, 900 Williams Drive
- Sheilds-Reid Community Center, 1410 Kelsey Street
- Richmond Recreation Complex, 3230 Macdonald Avenue
- May Valley Community Center, 3530 Morningside Drive
General Requirements:
Contractor shall hold current and adequate insurance.
a) Experience:
• A proven history of providing safe transportation to public (especially children).
Required Documents Submitted with Quote
1. Please provide quote on a per bus/trip basis as indicated on the Quote Sheet.
2. Provide a total cost of the bus trips.
3. Any other information about your company and the buses that will be used.

6 Required Documents upon Award
Upon award and approval of the contract by the City of Richmond’s legal department, the Contractor must sign the purchase of services contract and submit the following documentation. Other documentation may also be needed, and will be noted in the final contract.
• Sign the City’s Purchase of Services Contract – Attachment A
• Provide a “Certificate of General Liability Insurance” with an attached “additional insured endorsement” that names the City of Richmond as additional insured. – Attachment B
• Provide a copy of a current “Business License “with the City of Richmond, which will remain in effect for the duration of the project.
Questions
All questions must be submitted via the electronic BidsOnline system on the Q&A tab by 5 p.m. on March 3rd, 2025. If the City finds it necessary to issue an addendum, prospective Offerors will receive e-mail notification of addendum. Otherwise, answers to questions received will be provided on the Q&A by March 3rd, 2025. It is the proposer’s responsibility to periodically check the BidsOnline website www.ci.richmond.ca.us/bids
for any possible Addenda to the RFP that may have
been posted.
Terms
By submitting a quote, as a bidder, declares this quote is made without collusion with any other person, firm or corporation; that bidder has carefully studied the proposed minimum specifications and scope of work and bidder proposes and agrees if this quote is accepted that they will supply and service the City of Richmond.
The City of Richmond reserves the right to reject any or all quotes. In case of default, the City of Richmond may procure its materials/services from other sources and shall hold the original bidder or contractor liable for resulting increased costs. Quantities and optional items listed are the City’s best estimate for Quote purposes, actual order quantities and options may vary. 7 References
All quotes submitted shall be accompanied by three customer references (preferably local Richmond area or other governmental agencies) for whom the bidder has provided a similar scope of work during the past twelve (12) months , of comparable settings, complexities and quantities as required of this request for proposal. These companies will be contacted prior to award of proposal.
