AGENDA
REPORT
July 1, 2025
DISCUSSION:
City staff are making a formal request for the City Council to approve an amendment to the existing contract with Set Up for Success consulting agency. They have been instrumental in providing consulting services related to the City’s limited access protocol and have provided consultation and coaching to several City departments (Attachment 1 and 2). Their expertise has not only enhanced internal communication and collaboration among City staff but has also led to improved workflows, enhanced communication strategies, and a more cohesive approach to tackling the challenges faced by our teams and community partners.
To that end, City staff are proposing a contract amendment that revises the scope, term, and payment limit of their current agreement. This amendment is essential to ensure that the ongoing vital work, as outlined in the attached draft second contract amendment, can be effectively implemented (Attachment 3). The proposed changes will not only extend the duration of the partnership which allows the City to maintain the momentum of our collaborative efforts but will also provide the resources necessary for Set Up for Success to further enhance their services to the City and continue to foster a more unified and efficient operational environment. Your support in adopting this resolution is essential for maintaining the momentum of our collaborative efforts and achieving the desired outcomes.
The proposed second amendment seeks to revise the scope of work, extend the contract term, and increase the payment limit to ensure the continuation and expansion of this critical work (Attachment 3). These changes will enable the City to build upon the progress made to date and provide the necessary resources for Set Up for Success to further advance a unified, efficient, and responsive operational environment.
Approval of this amendment is essential to sustaining momentum and achieving the City’s goals for improved internal processes and collaborative engagement.
FISCAL IMPACT:
The fiscal impact of this amendment is $188,000 for a total not-exceed-contract amount of $270,500. Funding will be budgeted in subsequent departmental budgets as required.
RECOMMENDATION:
City staff recommend the City Council approve the contract amendment with Set-Up for Success by amending the scope of work, extending the term expiration to June 30, 2026, and increasing the payment limit by $188,000, for a total amended not-to-exceed amount of $270,500, and appropriating fund as required.
