RECOMMENDED ACTION:
Approve and authorize the Mayor to sign the agreement with Conti LLC to furnish and install complete audio/visual and control systems in the Council Chambers in the not to exceed amount of $51,110 (funding source: General Department Capital Fund ).
BACKGROUND:
The audio-visual and associated presentation control equipment has become unreliable in the City Council Chambers.
DISCUSSION/ANALYSIS:
Staff has requested a proposal from three firms familiar with audio visual upgrades in facilities similar to the City of Ripon Council Chambers. Staff is recommending the City Council approve and authorize the Mayor to sign the agreement with Conti LLC to install and configure new audio-visual equipment, including a Digital Sound Processor, Conference Microphone System, Video Distribution System to include Zoom capabilities, and Presentation Control Systems.
Once the installation is complete, Conti LLC will train IT staff on the use and setup of the system that will allow staff to troubleshoot and correct issues that may arise in the future as well as tune system to ensure optimal performance.
FISCAL IMPACT:
The expense of the agreement of $51,110 is to be paid through the General Department Capital fund that has a current balance of $1.2 million.
