DISCUSSION:

The Fleet Maintenance Facility Project has the following contract changes:

Flagpole modifications: The original bid included a flagpole that could hang up to a 5’x7’ flag and did not require lighting. The City plans to install a larger flagpole in the future that will require lighting. The original flagpole will no longer be installed as part of this contract and the Contractor installed the required conduit for the future flagpole lighting. The removal of the flagpole from the project resulted in a $5,288 credit and the addition of conduit for future flagpole lighting added a cost of $3,901. The net credit issued for this change is $1,387.

Electric vehicle (EV) charging station conduit: The original bid package included conduit for future EV charging station locations, but none of the locations were in parking spaces intended for larger vehicles. Staff requested a change order from the Contractor to run four conduit lines to the larger parking stalls for future EV charging stations. The additional cost related to this change is $18,613.

Skylight credit: The original contract included translucent panels that are no longer manufactured and therefore will not be installed. The Contractor has issued a credit for the installation and materials associated with this work. The amount of credit issued for this change is $5,306.

The additional work is to be billed at a cost not to exceed $11,920.

FISCAL IMPACT:

The attached Change Order No. 8 is in the amount of $11,920 and will be allocated to the Corp Yard AB1600 Fund (47.0%), Water, Sewer and Storm Enterprise Capital Funds (15.8%) and General Capital Fund (37.2%). The amended construction contract price is shown in Table 1.

Table 1 – Current Contract Price
Amount
Original Contract Price $ 11,156,000
Change Orders (1-8) $ 538,761
Current Contract Price $ 11,694,761
On December 13, 2022, City Council approved the total cost of the Fleet Maintenance Facility Project which included $1,115,600 for construction contingency. Change Order No. 1 did not utilize the project contingency because the work was performed at the Wastewater Treatment Plant disposal ponds. The total remaining contingency after subtracting Change Orders No. 2 through 8 is $865,461.
