Subject: Professional Services Agreement - CalCad - City GIS System RECOMMENDED ACTION:
Approve and authorize the Mayor to sign the annual Agreement with California CAD Solutions, Inc. for ongoing GIS system maintenance, support, and system enhancements and upgrade in a not to exceed amount of $25,000 (funding sources: General Fund, Water Operating Fund, and Sewer Operating Fund).
BACKGROUND:
In 2023, the City of Ripon received grant funding to modernize and upgrade its GIS system.
California CAD Solutions, Inc., a Modesto-based firm specializing in GIS and AutoCAD services, was selected to implement the system improvements.
The City’s GIS system is a critical tool utilized across all departments to support daily operations and decision making. The system maintains a wide range of data, including parcel ownership, parcel dimensions, tax assessment information, building data, zoning, and utility infrastructure.
It also serves as the primary repository for mapping and managing the City’s water, sewer, storm drain, and streetlight systems.
DISCUSSION/ANALYSIS:
Following implementation of the upgraded GIS platform, ongoing maintenance, technical support, and system enhancements are necessary to ensure the system remains current, functional, and responsive to staff needs. These services include routine system maintenance, data updates, troubleshooting, and targeted enhancements to improve efficiency and usability across departments.
The proposed agreement with California CAD Solutions, Inc. provides for these services on an as-needed basis, allowing the City to continue refining and expanding the capabilities of its GIS system to better support operational and planning functions.
FISCAL IMPACT:
The agreement is for an amount not to exceed $25,000 for the term of February 1, 2026 through June 30, 2027. Costs will be allocated equally between the General Fund, Water Operating Fund, and Sewer Operating Fund .
