Additional Description/Analysis
Issue Detail: The Department of Public Works, Fleet Management Division, has an ongoing requirement to purchase mobile maintenance repairs and services for medium and heavy-duty vehicles and equipment. These services are essential to support the operational needs of various City departments. By ensuring that all medium and heavy vehicles and equipment are properly maintained and quickly repaired when needed, the Fleet Management Division helps to minimize downtime and maximize efficiency across city operations. This initiative is critical for maintaining the reliability and performance of the city's fleet, which includes vehicles used for public safety, public works, sanitation, and other essential services.

Policy Considerations: The recommendations in this report are in accordance with City Code Chapter 3.56, which requires City Council approval of actions of $250,000 or more.

Commission/Committee Action: None.

B24153311010 for mobile maintenance and repairs for medium and heavy-duty vehicles and equipment. Seven bids were received. Fleet Management recommends awarding the contract to Ray Gaskin Service as the lowest cost, responsive and responsible bidder.

Financial Considerations: Sufficient funds are available in the Department of Public Works, Fleet Management Fiscal Year 2024/2025 operating budget to purchase maintenance and repairs for medium and heavy-duty vehicles and equipment through June 30, 2025. Due to the forecasted structural budget gap, the City Manager has directed City departments to minimize costs and for all new contracts to receive an additional level of scrutiny to ensure they are necessary for the operation of the City. This contract has been reviewed and approved by the City Manager’s Office to advance to Council for approval. Funding for the proposed contract beyond FY2024/25 is subject to Council approval.
