RESOLUTION NO. (N.C.S.)
A RESOLUTION AUTHORIZING THE DIRECT PURCHASE OF NEW 2023 TOYOTA TACOMA SR FOR THE COMMUNITY DEVELOPMENT DEPARTMENT WHEREAS, after years of recruiting for Combo Building Inspectors for the Community Development Department (CDD), the City has finally been able to fill two vacant inspector positions; and WHEREAS, CDD requires one (1) additional vehicle because of filling all inspection positions and an additional vehicle is necessary to ensure all inspectors have a vehicle and are able to arrive to their inspections safely in an efficient and timely manner; and WHEREAS, it is urgent that the City purchase the available vehicle now so each that each inspector can have access to their own vehicle because of an average case load of twenty (20) inspections a day; and WHEREAS, Fleet Maintenance Staff chose a 2023 Toyota Tacoma SR from Salinas Toyota at a cost of $39,613.89 consistent with the purpose and requirements of Article III-A, Local Purchasing Preference of the Salinas Municipal Code by being within ten percent of the State Contract and to assist Permit Services in acquiring a vehicle quickly; and WHEREAS, on February 7, 2023, City Council approved a resolution authorizing the purchase of said vehicle; and WHEREAS, CDD staff learned from Fleet Maintenance after this action was taken that the original quote did not include all vehicle specifications, taxes, and fees resulting in an additional $9,468.89 and that the “out the door” cost for the vehicle is actually 39,613.89; WHEREAS, to move forward with this purchase, a new resolution, replacing the one approved on February 7th is required and it is recommended that a 10% contingency is also included consistent with other fleet purchases to avoid having to return for any unforeseen changes to price.
NOW, THEREFORE, BE IT RESOLVED that the Salinas City Council authorizes the Purchasing Officer to purchase a new 2023 Toyota Tacoma from Salinas Toyota for a total cost of $39,613.89 with a 10% contingency.
BE IT FURTHER RESOLVED that the Salinas City Council authorizes an appropriation of up to $39,613.89 plus a 10% contingency not to exceed $43,575.28 from the Permit Services Enterprise Fund 6900 and use of this fund balance to purchase a Toyota Tacoma SR under account 6900.30.3350-66.5500.
