Dear Ms. Barajas,
Mountain Cascade, Inc. ("MCI) submitted a bid (as posted on PlanetBids) in the amount of $2,678,960.00 for the above referenced project on July 30, 2024 ("Project"). Please be advised this written request is being submitted on August 6, 2024, within five (5) days of the bid opening, excluding Saturday and Sunday.
MCI is requesting that it be allowed to withdraw its bid due to the fact that clerical errors were made when entering the final pricing, which made MCl's bid materially different than what it intended to submit.
The error occurred when MCI mistakenly omitted entering manhole lining subcontractor pricing, related support costs, and subcontractor listing in its final bid tabulation. This clerical error resulted in a bid total excluding $575,797.20 in costs, or 21.5% less than MCI intended.
As you can see:
1) A clerical mistake was made by inadvertently omitting subcontract manhole lining costs from the intended bid;
2) The public entity was afforded written notice within five days -excluding Saturdays, Sundays, and state holidays- after the bid opening of the mistake and specifying in detail how the mistake occurred;
These mistakes made the bid materially different than it was intended to be.
The mistake was made filling out the bid and not due to error in judgment or to carelessness in inspecting the site of the work, or in reading the plans and specifications.
