DATE: OCTOBER 8, 2024
DEPARTMENT: PUBLIC WORKS
FROM: DAVID JACOBS, PUBLIC WORKS DIRECTOR
BY: MARCOS QUINTERO, STREET MAINTENANCE MANAGER
TITLE: AMENDMENT NO. 1 TO THE SERVICE AGREEMENTS FOR ON-CALL STREETLIGHT REPAIR WITH BEAR ELECTRICAL SOLUTIONS, LLC. AND ST. FRANCIS ELECTRIC, LLC.
RECOMMENDED MOTION:
A motion to approve a resolution authorizing the City Manager to execute Amendment Number 1 to the Agreements for Services with Bear Electrical Solutions and St. Francis Electric for on-Call Streetlight services to increase the compensation by $50,000 for a revised not to exceed amount of $100,000 for each agreement.
EXECUTIVE SUMMARY:
Due to continuous issues regarding streetlights and the upkeep needed, the Public Works department has reached the $50,000 not to exceed amount for on-call streetlight repair services. Staff is recommending increasing the contract by $50,000 for a new not to exceed amount of $100,000 for each contract. Increasing both contracts by the same amount allows the City the flexibility to use either contractor. However, the City will not approve services provided by both contractors beyond the not to exceed amount of $100,000.
BACKGROUND:
In October 2023, the City posted a request for qualifications (RFQ) for interested On-Call Streetlight Maintenance Contractors on PlanetBids. After review of the submittals, Bear Electrical Solutions, LLC. and St. Francis Electric, LLC were both selected.
On December 5, 2023, Council awarded the On-Call Streetlight Maintenance Agreements to Bear Electrical Solutions, LLC and St Francis Electric, LLC for a two-year period (December 5, 2023, to December 5, 2025) with a not to exceed amount of $50,000 each per Resolution No. 22850 (N.C.S.). Currently the Public Works Department has come close to exhausting the original $50,000 for each Agreement and is requesting the City Council approve an increase of an additional $50,000 for each agreement for a total not to exceed amount of $100,000 for each contract.
