RESOLUTION NO. 23-148
A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF SAN CLEMENTE, CALIFORNIA, AWARDING A CONTRACT TO SEMA, LLC DBA CBE OFFICE SOLUTIONS FOR A 60 MONTH MULTI-FUNCTIONAL COPIER DEVICE LEASE AND SERVICE AGREEMENT FOR ALL CITY OFFICES, AUTHORIZING THE CITY MANAGER TO EXECUTE RELATED CONTRACT DOCUMENTS AND DECLARING EXISTING COPIERS SURPLUS UPON REPLACEMENT WHEREAS, the City wishes to provide operational functionality to departments for copiers and managed print services; and WHEREAS, City Purchasing Policy 201-2-1 allows participation in cooperative purchasing programs; and WHEREAS, the State of California entered into participating Addendum Number 7-19-70-46-07 for copiers and managed print services under NASPO ValuePoint Master Agreement Number 140603 and two (2) amendments thereto with the most recently amended term expiring on July 31, 2024, which is a cooperative purchase agreement that meets the requirements of Purchasing Policy 201-2-1; and WHEREAS, SEMA, LLC dba CBE Office Solutions (CBE) submitted a proposal dated November 21, 2023 to provide the City with Sharp multi-function copier devices under the State of California participating Addendum Number 7-19-70-46-07 for NASPO ValuePoint Master Agreement Number 140603, which will meet the City’s needs.
NOW, THEREFORE, the City Council of the City of San Clemente does hereby find, determine and resolve as follows:
SECTION 1. That the above recitations are true and correct and incorporated herein.
SECTION 2. That a sixty (60) month lease and service agreement for Sharp multi-function copier devices is hereby awarded to CBE based on CBE’s November 21, 2023 proposal.
SECTION 3. That the City Manager, or his designee, is authorized and directed to execute such documents and take such actions as are necessary and proper to purchase Sharp multi-function copier devices and services from CBE at pricing no greater than that quoted in CBE’s November 21, 2023 proposal and on terms and conditions substantially similar to those under the State of California participating Addendum Number 7-19-70-46-07 for NASPO ValuePoint Master Agreement Number 140603.
SECTION 4. That, effective upon the replacement copier devices becoming operational, the existing copiers are hereby declared to be surplus and are authorized for disposal pursuant to Policy No. 201-2-4.
SECTION 5. That the City Clerk shall certify to the passage and adoption of this resolution and enter it into the book of original resolutions.
