FROM: Alex Khojikian, City Manager
PREPARED BY: Police Department
MEETING DATE: June 17, 2024
SUBJECT:
Police Department Trailer Camera Purchase - Change Order RECOMMENDATION:
Approve a change order in the amount of $10,568.25 to the Purchase Order with Mobile Pro Systems for the purchase of two grant-funded surveillance camera trailers; authorize the Chief of Police to issue change orders of up to $50,000 cumulatively; and authorize the City Manager to issue change orders in excess of $50,000 but not to exceed $100,000 cumulatively.
BACKGROUND:
On March 18, 2024 the City Council authorized a number of actions related to San Mateo’s participation in the Organized Retail Theft Prevention Grant Program. Included in those actions was the approval to purchase two surveillance camera trailers in the amount of $114,700 using grant funds. Due to an administrative oversight, the dollar amount authorized for that purchase did not include tax. The total amount of the purchase, including tax is $125,268.25 and will be fully offset by grant reimbursement. Staff requests approval of a change order in the amount of $10,568.25 to complete the purchase; and requests Council authorization to clearly authorize the Chief of Police to issue any future change orders up to $50,000 cumulatively; and the City Manager to issue any future change orders in excess of $50,000 but not to exceed $100,000 cumulatively, as provided in the City the Purchasing Policy.
BUDGET IMPACT:
This purchase will be fully offset by grant reimbursement resulting in no net financial impact to the general fund.
ENVIRONMENTAL DETERMINATION:
This action is not a project subject to CEQA, because it is an organizational or administrative activity that will not result in direct or indirect physical changes in the environment. (CEQA Guidelines Section 15378(b)(5).)
