Community Schools Coordination

For the 2023-24 school year, San Pablo schools focused on implementing the San Pablo Beacon Community Schools Initiative priorities focused on health and wellness, family engagement, and school culture and climate. In this section, we summarize findings drawn from interviews with the school’s Principal, Beacon Director, and lead agency supervisor, as well as documents provided by the City of San Pablo.

Bayview had successful partnerships with local nonprofits and family engagement events over the year due to the Beacon Director’s leadership. The Beacon Director engaged partners like the James Moorhouse Project , which provided direct services like mental health check -ins and student focused social emotional learning ( SEL) programming. After a four-year tenure at Bayview, the Beacon Director transitioned from his role during the summer to finish graduate school and worked closely with Bayview and the lead agency to create a plan for who to hire and onboarding procedures.

Health and Wellness
" [The Beacon Director] plays an integral part. They lead the CARE team and each week, they go over the students that are on the list or the ones that need to be added on the list, and they speak with our school counselor, our school psychologist, our VP is involved, and then we have a couple of others that are involved in the CARE team. They are very active in making sure that happens every week and keeping up with that data in terms of, ‘well, it's that six-week point, what's happening now with that student?’” —Principal

At Bayview, the Beacon Director coordinated their CARE team and supervised the James Morehouse Project (JMP) partner to support student’s social, emotional, and mental health. In the CARE team meetings, they met once a week and discussed important topics like the Multi-Tiered System of Supports and creating CARE handouts for teachers and staff. These handouts were a guide for teachers to learn more about the referral process. The CARE team consisted of the Beacon Director, School Community Outreach Worker (SCOW), the Social Worker, the School Psychologist, Principal, and the Student Support Specialist. The Beacon Director coordinated summer CARE meetings to discuss next year ’s CARE coordination plans to foster a smooth transition to the new Beacon Director.

The JMP provided two part -time interns to support Bayview students with social and emotional learning inside and outside of the classrooms. The interns hosted lunch clubs and offered one-on- one counseling to a small caseload of students. The Beacon Director created clear expectations for the interns through observations and goal-setting. Furthermore, the JMP partnership expanded the school’s mental health counseling capacity, which positively benefitted the school’s overall climate and culture.

Family Engagement
“This year I started a family engagement team where we meet on a monthly basis and just discuss upcoming family engagement events and plan it out. So that's why we've been able to do [the events] and the reason why we show up.” — Beacon Director

The Beacon Director listened to Bayview families’ needs from last year and hosted a variety of events and family groups. New to this year, they started a family engagement team where caregivers met monthly to discuss and plan upcoming family engagement events like a Read -a-loud event where caregivers volunteered to read to students . The SCOW collaborated with the Beacon Director to pass out flyers on how to sign up for ParentSquare to ensure families had access to the Bayview portal. The portal was where families received the most current information on campus events and communication from school administrators . The Beacon Director implemented updates based on family feedback by including the parent committees and family engagement team to host events with more flexible times.

The Bayview family engagement events were robust. These included Math and Literacy Nights where caregivers came into the classroom and were involved with their student s’ work. For example, the Literacy Night included time for staff to improve the Bayview families’ awareness of student literacy skills and encourage d them to read with their student at home . Teachers helped families learn tips on how to read with their
child, and provided resources to encourage
their students to read. The Beacon
Director also hosted a Read-a-loud event in
collaboration with Greenwood Academy
where older students came to read to
Bayview students, and families were invited
to attend. Some caregivers even
volunteered to read in partnership with
Greenwood Academy, which created a
positive and engaging experience for
families.

School Culture and Climate
“He's always collaborating with leadership. We have a weekly leadership meeting where all the management teams sit together and we talk about highlights and action steps and areas that they need help in. And so he's always there, stress-free PDs, staff meetings, and town hall meetings where we're talking about the four Bs, giving students certificates for best attendance and citizenship. And then of course, the PBIS, which is a big piece for our students. “— Principal

The Beacon Director not only
engaged JMP interns on campus,
but also collaborated with staff
and teachers to create a safe and
positive school culture and
climate. Bayview had a Student
Support Specialist who supported
academic initatives and hosted a
Newcomer Group. The Student
Support Specialist collaborated
with the Beacon Director to

their native language (Spanish) and learn English to connect more with their teachers. The space encouraged students to build community and seek out confidential support.

The Beacon Director worked closely with the Recess Coach, who created instructional recess activities and sports. The Recess Coach used City of San Pablo funding to fulfill sports equipment requests for the recess activities. Similarly, the Beacon Director coordinated the yearly Field Day event to celebrate students’ success with finishing state testing with sports, water games, and other fun activities.

The Beacon Director also coordinated off-campus field trips to foster experiential learning. The y acted on previous feedback received from teachers and staff who requested more field trips for students. They used the Community Schools Grant Funding to fund a field trip to UC Santa Cruz for students to experience being on a college campus.

Lessons Learned
At the close of the interviews, the Principal and Beacon Director reflected on their experiences from the past year.
• “I remember [the Beacon Director] saying that it was part of the shared understanding about PBIS and how to support students and how to talk to them and how to approach them. And that's our school. It's SEL.” – Principal
• “We've had a real influx of newcomers, and I think the district as a whole just doesn't have enough resources and just personnel to properly serve the schools, the capacity.

They really need and can benefit from it.” – Beacon Director Plans for Next Year
The Principal and Beacon Director also took time to share their plans for the coming school year. • Continue strengthening CARE systems
and monitoring outcomes of referrals.
• Onboard the new Beacon Director to
continue the community schools work
started by their predecessor.
