FROM: Department of Public Works
SUBJECT: APPROVAL OF FIRST CONTRACT AMENDMENT FOR PURCHASE OF FIVE (5) REPLACEMENT VEHICLES, SPECIFICATION NO. SV 23 -15,
AND APPROVAL OF A SUPPLEMENTAL BUDGET REQUEST IN FUND
100
RECOMMENDATION
It is recommended that the City Council:
1. Approve the first contract amendment with UAG Cerritos I, LLC (UAG) (page 4) for the purchase of Five (5) Replacement Vehic les, Specification No. SV 23- 15 extending the term for one (1) year from February 26, 2024 to February 26, 2025, amend the scope of work, and increase the not-to-exceed amount by $23,487.50, for a total not-to-exceed contract amount of $361,318.93;
2. Approve a supplemental budget request in the amount of $23,487.50 in the General Fund (Fund 100).
BACKGROUND AND OVERVIEW
On July 31, 2023, the City Council awarded a contract to UAG for the purchase of Five (5) Replacement Vehicles, Specification No. SV 23- 15 for th e not-to-exceed amount of $337,831.43. The City’s contract with UAG is set to expire on February 26, 2024. The vehicles have not been received by the City, with delivery expected within the next several months. The City now desires to extend the contract by one year from February 26, 2024, to February 26, 2025, and equipment that was not included in the Bid Specification increasing the not -to-exceed amount by $23,487.50 for a total not-to-exceed contract amount of $361,318.93.
FINDINGS AND ALTERNATIVES
On July 31, 2023, the City Council awarded a contract to UAG for the purchase of Five (5) Replacement Vehicles, Specification No. SV 23- 15 for the not -to-exceed amount of $337,931.43, listed below:
1. Vehicle #490 is a 2004 Chevrolet 2500 and is to be replaced with a 2024 Chevy Silverado Regular Cab for $64,569.12;
AGENDA ITEM NO.
Consent (4)
A2408.SR.JD
2. Vehicle #529 is a 2008 Ford F350 4x2 Super Cab and is to be replaced with a 2024 Silverado 3500 Crew Cab DRW for $104,664.78, including the bid exception increase of $5,000 for Crew Cab DRW;

4. Vehi
cle #557 is a 2009 Ford F250 ¾ Ton and is to be replaced with a 2024 Chevy Silverado Regular Cab for $64,569.12;
5. Vehi
cle #563 is a 2010 Ford Escape Hybrid and is to be replaced with a 2024 Chevy Colorado Crew for $39,459.29.
The awarded contract had a delivery term of 210 days; however, due to continued vehicle supply shortages, UAG Cerritos I, LLC is requesting a one- year extension in time to deliver the vehicles. Staff understands that this increase in expected delivery time is due to continued vehicle supply shortages.
The bid specification did not include the following equipment: Arrow Boards, Tommy Gates, and Headache Racks on two replacement vehicles for the Public Works Street Maintenance Division. UAG can install this equipment for $11,743.75 per vehicle for a total of $23,487.50, therefore staff is recommending an amendment to the previously approved scope of work.
Staff request s to amend the current contract with UAG to increase the not -to-exceed amount by $23,487.50, for a total not-to-exceed contract amount of $361,318.93, amend the scope of work, and approval of a supplement budget request in the total amount of $23,487.50 in the General Fund (100) for the purchase of two Arrow Boards, Tommy Gates, and Headache Racks for replacement vehicles #553 and #557.
