RESOLUTION OF THE CITY COUNCIL OF THE CITY OF UNION CITY
AUTHORIZING THE CITY MANAGER TO EXECUTE THE FIRST
AMENDMENT TO THE SERVICE AGREEMENT WITH GLOBAL OFFICE,
INC. FOR SCANNING, INDEXING AND DESTROYING ARCHIVE
DOCUMENTS AT THE CORPORATION YARD
WHEREAS, as part of the Quarry Lakes Parkway project, it was determined that the southern concrete wall of the Corporation Yard must be relocated to accommodate the realignment of the Line M Channel for the new roadway; and WHEREAS, multiple City departments stored paper documents and plans in Connex boxes located in the southern corner of the Corporation Yard, and these boxes needed to be removed to allow the wall relocation; and
WHEREAS, the documents contained in the Connex boxes are required to be retained in accordance with City records retention requirements; and WHEREAS, on October 14, 2025, the City Council authorized the City Manager to enter into an agreement with Global Office, Inc. for scanning, indexing, and destroying an estimated 1,502,100 documents stored at the Corporation Yard; and WHEREAS, Global Office, Inc. performed a full audit, identifying that the actual number of large-format documents exceeded initial estimates, while the number of standard documents was slightly lower than projected; and WHEREAS, the First Amendment to the Service Agreement with Global Office, Inc. will allow the vendor to complete the project based on actual document counts and will authorize an increase in the not-to-exceed compensation from $151,285.00 to $167,134.04.
NOW, THEREFORE, BE IT RESOLVED, that the City Council of the City of Union City hereby approves an increase in the not to exceed compensation from $151,285.00 to $167,134.04 for the Service Agreement with Global Office, Inc. for scanning, indexing, and destroying archive documents at the Corporation Yard and authorizes the City Manager to execute the First Amendment to the Service Agreement in a form approved by the City Attorney.
