SUBJECT: AGREEMENT FOR TICKETING SOFTWARE
A three-member panel of City staff evaluated the seven proposals using a weighted evaluation system which considered the following criteria:
•Staffing capabilities demonstrating that the present workload of the firm and the availability of staff for the project will remain sufficient throughout the duration of the contract. •Local experience and credentials of key personnel assigned to the contract. •Understanding of project objectives and scope of work as evidenced in the written narratives. •Vendor's past record of performance in similar projects related to control of costs, quality of work and deliverables, and adherence to schedule.
•Experience with projects of similar nature.
•The City's prior experience with the vendor.
•Cost of providing services.
City staff also contacted the references listed in the two highest-rated proposals. The weighted evaluation criteria and reference process allowed the selection committee to recommend the firm best qualified to provide the requested services at a reasonable cost. The consensus among the selection committee was to recommend the City Council award an agreement to Spektrix Inc.
A detailed scope of work for the project is available in the consultant’s proposal, attached as Exhibit 4.
Staff recommend approving an agreement with Spektrix Inc. for ticketing software services for the Cultural Arts Division, attached as Exhibit 5. The recommended agreement with Spektrix Inc. shall not extend past a three-year agreement with the option to extend the agreement for two additional one-year terms and shall not exceed $500,000 over the term of the agreement.
FISCAL IMPACT: The Fiscal Year 2024/25 Operating Budget includes $60,000 for ticketing services in Technology Purchases and Services Account (No. 6040135.531530). Given the contract with Tessitura Network Inc. expires October 2025, staff anticipate expenses approximating $18,000 for Tessitura Network Inc. and $64,740 for Spektrix Inc. for a combined total of $82,740 in Fiscal Year 2024.25. Accordingly, staff recommend an increase of $22,740 by adopting a resolution amending the operating budget.

Cover Letter: Why The City of Vista
Should Partner with Spektrix
Thanks for inviting us to submit a proposal in response to your RFP for Ticketing Software for Moonlight Amphitheatre. We are confident that we can serve your needs across the board and be the best partner to you now, and as you grow into the future.
To evidence this, it’s worth noting that Spektrix is the fastest growing CRM and ticketing solution for arts, culture & other live entertainment event organizations in the world, attracting over 60 new user organizations every year. They’re attracted by our modern, cloud-native, agile CRM, connecting a powerful box office solution with marketing, fundraising and reporting to empower teams, increase revenue and expand & engage audiences. We are unique from all other providers in the space for several reasons, including:
Scalable technology
Other legacy systems like Tessitura and AudienceView require internal IT resources or an inflated cost of their solution to you (essentially charging you for consulting and their team doing that technical work) whereas Spektrix, as an all-inclusive, native and serverless Cloud Software-as-a-Service (SaaS) solution, does not. Organizations using Spektrix manage to avoid large internal IT teams’ or outsourced consulting’s cost and complexity, especially now, when recruiting engineers can be time consuming, costly, and lead to business continuity risks. Moonlight Stage can avoid significant annual expense with a Spektrix solution over that of legacy providers where a dedicated IT team or outsourced consulting costs are required.
Spektrix also provides incredibly robust support for all of your on-sales, without the need for any third party integration (such as Queue-It). Our native, no-cost ability to manage and move through large, online queues is in stark comparison to legacy providers. This ensures your organization can provide a painless experience for patrons and capture all interest and revenue during large on-sales without inflexible, exorbitant cost of resource.
We have benchmarked that Spektrix clients move through their queue over 10x faster than similar sized on-sales on legacy providers and therefore feel this a unique area of differentiation where Spektrix can best support your success! Agile Product Development
Spektrix was built as a multi-tenant solution, which means all clients are on the same version of Spektrix and we upgrade everyone simultaneously - we release new features and enhancements into the system daily, with no disruption to your business. We manage the testing and rollout, which is fundamentally different from the clients of legacy providers, who perform upgrades and testing themselves or pay extra for it (this also poses a risk to breaking the system with new upgrades and the IT time/cost required to manage that in-house, as well as to being on vulnerable technology when security patches are released but not yet implemented). At a time where you will be prompted to upgrade to version 16 of Tessitura with breaking changes and entirely new data models, this differentiation may especially resonate.
User-Friendly Approach
For Spektrix clients, all team members can effectively use the system. We believe a system can only be powerful and sophisticated if it is also usable and accessible. With Spektrix, and unlike other providers, it’s all done through user friendly interfaces - you don’t need to know SQL or coding languages in order to set up loyalty campaigns, pull informative and robust reports, or create upsells--saving you time and money, and empowering you to maximize your revenue easily with no barriers to success.
We’ve built Spektrix to be highly configurable. This means each organization we work with, from small to large, can configure their own Spektrix system for their specific business needs at no cost. With Spektrix, configurability means you can set the system up as needed, and still benefit from daily upgrades mentioned above.
Partner Ecosystem
We’ve constructed an Open API which is publicly available at no cost, which empowers clients and partners to integrate beyond the system itself.
Our API can be leveraged for seamless and robust online purchase path creation, as well as integrations with partner technologies. Our expansive Partner Ecosystem gives our users the ability to make use of best-of-breed systems, expanding the capabilities of Spektrix. Some examples of integrated partner products include: dynamic pricing, wifi sign up, EPOS, streaming, ethical ticket reselling and much more.
Support Offering
Ask our clients, and Spektrix world-class support will most likely be the first thing that is mentioned. Our client success teams are made up of experienced ticketing, fundraising and/or technology professionals, with each client getting assigned their own support team. Our success is directly tied to your success, so our support is included at no additional cost, from technical to training to consultative, we’re here to ensure you can make the most out of your Spektrix solution and leverage it to reach your goals. Anecdotally many organizations that we’ve moved from Tessitura, Patron Manager, AudienceView, Ticketmaster and a number of other competitors list a “lack of, or costly, support” as one of the top reasons they leave those systems and choose Spektrix.
Contracting Model
Unlike other providers, Spektrix operates in one-year renewable agreements and has a 99%+ annual renewal rate of clients - meaning we earn our clients business back year-over-year without locking clients into multi-year contracts. 5+ year contracts are common with other providers in the space, especially for non-SaaS deployments, because they need to recoup their IT costs of implementation and customization spread over a number of years whether hosted on cloud infrastructure or hosted at your site.

Our Proposed Solution
That all said, we see it as our job to do everything we can to help your organization succeed. Success is about your team having the tools they need to achieve your vision. That means having tools to drive audience engagement, but also to drive efficiency and revenue generation.
Additionally, it’s about making your life easier so that you don’t have to sweat the small stuff and can get on with working towards your mission.
With a team of over 250 people, including 100+ client-facing team-members, many who come from working in the arts, we’ve got the right mix of experience and expertise (in both technology and the arts) to make sure you get the most out of this system and our services.
As for the solution itself, Spektrix was designed to be user-friendly without a lack of power. Building GA and reserved events, ticket packages, add-on events, order questions, and offers takes a matter of minutes, and maintains the flexibility of adjusting pricing, adding discounts and more, on-the-fly. Despite there being well over 1000 native data points in the system (and the ability to add even more of your own custom data fields), extracting data using drag & drop functionality and boolean query tools like and/or/not functionality can easily be learned and executed by anyone on the team.
When patrons buy tickets for events, purchase merchandise or make donations through Spektrix online, every transaction takes place on your own website, giving you full control over your patrons’ experience and complete visibility of purchasing and giving behaviors through our integrations with Google Analytics. This includes the control to ensure a mobile friendly experience for smartphone and tablet users, easy seat selection on pinch & zoom, dynamic seating maps, and multiple options for ticket delivery (with customizable thermal or digital/mobile options).
Spektrix users can easily maximize revenue through powerful automated up-selling and cross-selling tools, which put additional opportunities in front of your patrons to enhance their experience and time with your organization, like additional events from across the campus, concessions, merchandise, pre/post show events and more. Built in gift certificate functionality allows organizations to maximize further on revenue with simple online purchasing and redemption.
Spektrix allows you to seamlessly take credit card payments online and through the back office without a redirect to a separate portal using our in-house payment solution, Spektrix Payments.
With each transaction Moonlight Stage will have the capability to capture customer data - demographics and behavioral - giving you a 360-degree view of your audience and empowering you to leverage that information for insights and business decisions like programming and marketing campaigns. This data is owned by you and will store in the system for as long as you please. Patron records are easily and quickly queried through advanced search options like name, phone number, email, address, custom fields and more--enabling users to complete walk up sales in just a few clicks.
Our integrated multi-channel marketing tool, dotdigital, saves teams hours of manual work through dynamic content in email campaigns, feeding variable content to specific patrons in a single email based on their tags in Spektrix, and through automated email and marketing campaigns. The automated campaigns can include emails, as well as triggered social media and Google ads, and SMS outreach.
All of this contributes heavily to the ability to build loyal, and re-attending audiences, and cultivate strong patron relations using our robust pipeline moves and campaign management tools, making for an all-in-one solution for the entire Moonlight Stage Team.
To get this all up and running, our implementation team, led by Mark Smith and overseen by our VP of Client Success, James Menezes (bios & experience detailed later in this document), are guaranteed to perform, with expertise, the tasks needed to implement Spektrix as a core part of Moonlight Stage’s operations. We approach our implementations consultatively and our team is equipped with the skills to seamlessly translate your current operations from Tessitura to Spektrix. There will be a number of individuals working with the Moonlight Team through the process, pulled in by Mark and his team and all with expertise in certain areas like reporting, website integration, and more.
If The City of Vista intends to award Spektrix with this partnership, I can confirm that we meet the applicable insurance requirements. That said, as is standard with any SaaS solution, we require all of our clients to sign our Agreement Schedule and Terms & Conditions. As is stated in response to one of the questions on the RFP Portal, the City of Vista is open to “accepting a vendor’s template”--we will, however, gladly work with the City's legal team to incorporate, as possible, specific terms requested to be added or adjusted to ours using an addendum.
I can confirm that we have received all the documents associated with this RFP including Addenda #1 issued at 1:30pm on May 31, 2024. The following pages will detail how we plan to meet the needs of Moonlight Stage as outlined in the provided RFP documents. - Karen Elizondo, Business Development Lead, US & Canada Signature:_________________________________________

Information
Our History
Spektrix was dreamt up in 2007 by Michael Nabarro, a lighting designer and proud data geek, after experiencing the frustrations of finding and installing a ticketing, marketing and fundraising solution at an arts center while a student at Cambridge.
With the world steadily moving towards the cloud - why hadn’t the sector’s ticketing, marketing, fundraising and CRM solutions kept up? The most powerful solutions were antiquated - built with aging technology. Upgrades and support were tedious. Customizations were difficult to manage, and the ability to be agile in an ever changing technology landscape felt unobtainable for an industry desperately needing innovation.
After building the solution with his friend and colleague, Matt Scarisbrick, Michael rolled out Spektrix in its genesis to a few users in their community. The impact was immediate. Seventeen years later, Spektrix is the market leader in the UK where over 65% of arts organizations run on Spektrix, and over 650 global organizations are leveraging the software including, the Barbican Centre, the largest performing arts center in Europe with ~£29.3m/$38m Earned Income and 1 million+ tickets annually.
Spektrix made its leap across the pond in 2015 by opening up its offices in New York City. Eight years later, we now boast over 250+ clients in the US and Canada and have global staff spread across New York, London and Manchester.
With enhancements rolled out daily, and a truly innovative, cloud-native, and serverless, technology infrastructure, Spektrix is uniquely positioned to provide unparalleled service to the live entertainment world, and specifically Moonlight Stage.
Our Mission & B Corp Status

We believe that businesses including ours have an opportunity and a responsibility to be a powerful force for positive social change and have a purpose in the world beyond just making money. This idea is already embodied in our mission, in the work we do every day and in our values that guide the way we do it.

THE TIMELINE
Your implementation timeline will be decided by your Spektrix Project Manager and your stakeholders during the kick-off meeting.
Typically, transitions take 3-6 months. Key milestones include:
●Data Migration
●Web Integration
●Third-party Integrations Set-Up
●System Training
A shared project board via Teamwork will be set up to track progress. Weekly catch-ups will be scheduled to ensure tasks stay on track.
DATA MIGRATION
Data migration is included in our service charge. We begin by receiving your current database copies, which are securely uploaded to our server. The process involves multiple "runs" to map and check the migration of your legacy data. Each run is reviewed and refined based on your feedback. The final data extract will include all legacy data needed in Spektrix and will require a complete break from your old systems.
WEB INTEGRATION
Spektrix integrates directly into your website, keeping patrons at your URL throughout their purchase journey. We provide tools and guidance for your web developer to complete this integration using iFrames, Web Components, and our open API, or our out-of-the box purchase path, Spektrix Link to ensure a seamless, beautiful online experience. Recommended developers are listed on our Partner Directory.
PAYMENT PROCESSING, HARDWARE, & THIRD PARTY INTEGRATION SET-UP Spektrix has its own payments solution using a white-labeled platform, called Adyen. Through this we provide competitive pricing and streamlined innovation to offer a variety of flexible payment options for patrons.
Our all-inclusive fee includes support, refunds, hardware, fraud protection, daily payouts, and more. As part of your implementation process, we will help you get set up with Spektrix Payments and run some test payments through your system to make sure everything is working as expected.
We’ll also be sure to configure and set up any hardware you plan to leverage like printers, scanners, or chip terminals. And, if you opt into leveraging any of our integrated third party solutions, we’ll work with you to get those up and running as well.
TRAINING & PROCESS MAPPING
We will set up an online portal through Teamwork for direct communication and strategy. Training sessions will be scheduled at a mutually agreed time before Go-Live. A designated Client Success Manager will provide the necessary tools and knowledge for successful system use. Ongoing training and support are available at no additional cost.
Training continues beyond Go-Live. We offer refresher sessions and new hire training. Additionally, webinars, roundtables, workshops, and conferences are provided at no extra cost. Clients receive a biannual insights report with key metrics and case studies for continued learning.

PATRON RECORD MANAGEMENT
As a CRM solution, Spektrix offers a 360-degree approach to customer record management, providing a comprehensive view of your audience. Customer records are organized into sections for easy navigation, including contact information, relationships, transaction history, and audit trails.
Basic data fields come standard, and custom fields can be added for specific needs. Each record can store multiple addresses, contact preferences, relationships, and interest codes. Users can also add “sticky notes” for unique information.
All interactions are tracked and viewable in a timeline or exportable via a profile report. Customers are easy to find with basic and advanced search options. Each record includes an audit trail of changes.
Tags store additional customer information and can be manually or automatically applied based on criteria like ticketing or donor behavior. Tags help segment the database, determine eligibility for offers, and power dynamic marketing automations.

SEATING CHARTS & FACILITY CONFIGURATIONS
In Spektrix, each venue can have an unlimited number of seating charts--both reserved and unreserved. The structure and max capacity of reserved seating plans are initially built by the Spektrix support team and imported into your system (at no cost to you). Once there, system admin users can affect many things about them, including masking seats, adding locks, configuring price bands, applying information (restricted view, wider leg room), setting “Best Available” and modifying background images. Each of these modifications are called “overlays” and can be saved as templates or copied. 9 The System

MANAGING TICKET SALES
Selling tickets, subscriptions, memberships, and
merchandise is very simple and intuitive. With Spektrix, you can handle sales online, in-person, or over the
phone. For mobile sales, simply use a laptop or tablet
with internet access. Our quick sale channel keeps lines moving, getting your guests into events seamlessly.
A single transaction can include multiple events,
donations, add-ons, memberships, and merchandise— all
with automated cross-selling and upselling to boost your sales. Spektrix supports various payment methods like
cash, card, check, account credit, and gift vouchers, plus custom options tailored to your organization. Multiple
payment types in one sale? No problem!
In-person card payments are a breeze with swipe or chip readers, and online orders can be intercepted by Sales
Users and Admin to ensure smooth processing. This is
perfect for customers who experience issues
mid-purchase or for inter-staff management.
Refunds and exchanges are streamlined too. Process
them directly in the system and choose to issue credits or return balances via the original payment method. The
interface guides you through collecting or returning fees and setting ticket prices for even exchanges, whether
partial or full.
For non-even exchanges, the system displays the
remaining balance, giving you the flexibility to charge, refund, credit, donate, or convert it into a gift voucher.
With Spektrix, every sale is a chance to enhance your
customers' experience and maximize your revenue.

SUBSCRIPTIONS, PASSES & PACKAGING
Spektrix offers dynamic packaging options, including
fixed series subscriptions, flex passes, memberships, and multi-buy promotions.
Fixed Series Subscriptions let customers book the same
seats for multiple performances, which can be renewed
each season, maintaining their preferred seats or
choosing new ones. This applies across various venues
and seating charts. Straight renewals and seat change
requests can be managed prior to new subscription
onsale if desired.
Ticket Subscriptions (Flex Passes) allow customers to
pre-purchase vouchers for multiple events at a fixed
price and redeem them later. This feature simplifies the creation, sale, and redemption process, tracking
subscriptions, redemptions, and remaining vouchers.
Memberships provide access to exclusive benefits like
discounts, priority booking, and locked seats. Multiple membership tiers can be set up, each with unique
benefits.
11 Multi-buy Promotions encourage purchasing multiple shows with enticing offers as customers navigate their purchase.
Creating any of these packages in Spektrix is quick and easy. The system guides you through the steps, ensuring everything is set up correctly. Subscription functionality is independent of events, allowing you to easily pick and choose events for each package without needing to duplicate them, or needing know they’ll be in a package from the get go.
Marketing automation with Spektrix’s Dotdigital integration can be easily set up for efficient acquisition and renewal campaigns--effectively enrolling the right customers and removing them from campaigns automatically once subscribed.

TICKET DESIGN & ACCESS CONTROL
Spektrix is compatible with Boca printers, which the City of Vista already use. You will be able to design tickets using the Ticket Design tool, allowing multiple designs with automated data fields or free text, applied per performance. You can edit ticket designs before, during, or after onsales.
Deliver tickets your way—post, will-call, or e-ticket/print-at-home—with customizable delivery fees per sales channel.
Select delivery options per performance and ensure e-tickets/print-at-home arrive via email with an easy-to-print PDF or a mobile-friendly link. Digital tickets can be delivered and stored in Google or Apple wallet with several Spektrix partner integrations like crowdEngage (bottom right screenshot) or VisitOne.
For scanners, Spektrix is compatible with Janam, Zebra, Saveo or Linea Pros. Scanners read barcodes and QR codes on any surface, with scan data visible on event seating charts and individual orders in Spektrix immediately. Scanning data (scanned, not scanned, number of scans, scan user, time, and date) can be used in reports. "Customer Groups" in Spektrix can display additional customer information upon scanning, such as donor status or assistance needs. 12 The System

DYNAMIC PRICING
The ticketing and pricing engine in Spektrix allows for complex pricing matrices, and relational discounts - both percentage, and value based across many channels and ticket types.
Managing dynamic pricing through Spektrix can be applied through use of our Price List functionality, paired with our Bulk Instance Update tool. This tool will allow you to bulk apply, change and edit pricing structures for instances (individual event performances).
Spektrix can be extended through the partner ecosystem to programmatically determine price changes. Using Digonex, Vatic or DynamO. Pricing based templates, and yield reports in the system will also help you understand what pricing to change and when.

14 REPORTING: FINANCE, SALES, SETTLEMENTS, ETC
Spektrix provides comprehensive real-time transaction
and accounting reporting, with customizable options to
meet diverse organizational needs. Detailed reports,
including sales, settlements, and demographic data, are easily accessible and can be tailored for specific
accounting and operational requirements.
Spektrix runs all transactions in real-time through
Spektrix Payments on Adyen. Each transaction item is
uniquely identifiable in reporting tables, known as
"Account Reports," which detail every order and payment item over time. General Ledger (GL) codes can be mapped to core items such as ticket types, fees, tax, events, and donations. Standard accounting reports are available
anytime and can be scheduled for delivery to accounting teams, with custom GL reports available for complex
needs. These reports are designed for direct upload into accounting software via CSV, like Tyler Munis.
Before going live, Spektrix works with your finance team to understand your GL structure and provide mapping
recommendations. Out-of-the-box show sales reports,
customizable settlement reports, and show wrap reports
are available, tailored to each organization's review
process. Sales users and admin staff can run reports for end-of-shift and per-operator summaries, as well as
close-till reports with itemized transactions.

FEES
Fees within Spektrix can be set as flat value, and percentage. They can be applied to individual tickets, items (merch, tickets, memberships), and waived according to customer criteria. You can charge a ticket-based outside fee, a ticket-based inside fee, and an order-based fee per transaction in Spektrix. Order-based fees are set values, and not calculated as percentages.
For tax - we program tax codes into your system for you upon set-up, and you can assign or remove tax on an item by item basis.
For online presentation - you can configure fees to be itemized, or to be included as a single price. This is a per system configuration, and we’ve designed this purposefully for the best online user experience possible.
All fees and taxes are reportable - regardless of how they’re presented in the buy-path. Fees can be adjusted, and waived during the processing of orders. You can choose to retain, or refund processed fees when exchanging or refunding tickets.

CREDITS, GIFT CERTIFICATES, AND VOUCHERS
Spektrix uses an in-built Gift Voucher program to issue vouchers. Gift Vouchers can be processed or redeemed online, or through the box office. A unique voucher number, order number, expiration date, delivery data, purchaser and redeemer information (when redeemed) live against all vouchers. Standard reports will allow you to track balances of cards, and the Sales Interface will display all outstanding balances.
Expiration dates are set as a system configuration so you’ll be able to set Gift Vouchers to never expire or to expire after a set period of months.
E-Vouchers can be delivered to an email on a schedule, and designed via HTML for custom branding. A purchaser will be able to include a custom message with the Gift Voucher they send.
Credits, like Vouchers, are placed directly onto the customer account - and can also be redeemed online if you chose to offer that as an organization. Balances remain on the customer record - and the customer can choose to use their balance or not when making an online purchase. 16 The System

DONOR CULTIVATION & MANAGEMENT
Spektrix offers robust donor management functionality, enabling seamless tracking of donor interactions, recurring gifts, and acknowledgment processes. It supports detailed segmentation, solicitation, and reporting, ensuring efficient cultivation and management of donor relationships.
Online gifts in Spektrix are fully customizable and easy to manage. Using advanced tools, you can design donation forms with widgets and API tools, including tribute types and custom fields. Customers can interact with and select programs to gift without needing to register an account, though an email address is required to map gifts to existing or new records, preventing duplicate entries.
Recurring gifts are managed through Spektrix’s auto-renew Membership functionality. Gifts run on a set schedule, with the system automatically generating notices and receipts. Monthly gift processing can be scheduled with customer notifications, allowing customers to manage their stored cards and opt out as needed. Custom acknowledgment letters, dynamically configured based on gift details, can be auto-generated and emailed.
Donor management in Spektrix is streamlined with features for identifying donor levels, benefits, and communication preferences. Fixed and accrued giving statuses are tracked using auto-tags, and donors can be segmented for targeted communication, benefit eligibility, and solicitation.
Spektrix allows for the assignment of solicitors to manage donors and opportunities, with detailed reporting to keep solicitors on track. Opportunities can be managed with information on expected close dates, target amounts, and likelihood of success. Task planning and monitoring are facilitated through customizable “Activities,” which can include day-to-day tasks, meetings, milestones, and other notable steps in the donor journey. The moves management feature breaks campaigns into stages, providing a structured workflow for cultivating donors.

HARDWARE
Spektrix does not provide or retail hardware to run the solution, as we prefer to keep the options open for our clients to select equipment that works best for them. Below is a list and information on the hardware needed to run Spektrix and optional hardware to enhance the experience using the solution:
●POS Stations: For POS Stations and to access and use the Spektrix cloud-based application, you will need a computer or laptop for each station.
○While Apple products can work for running Spektrix, in order to connect the ticket printers and chip readers, you must have a computer that can run Windows operating systems. ○The computer or laptop needs to have power and access to the internet, so a internet connection or wifi must be set up on the device.
○It may also be useful to have a mouse to navigate the screen on the device. ●Printing Tickets: In order to print thermal tickets from Spektrix, you must have a BOCA or Stimare ticket printer.
○A standard paper printer could work, however, our team does not actively support set up or troubleshooting of paper printers.
○Thermal Ticket Stock can be purchased from numerous vendors. Spektrix does not sell/supply ticket stock, but can make recommendations for vendors. Our Support Center lists a few here ( https://support.spektrix.com/hc/en-us/articles/360033316492-Ticket-Stock) ●Taking Payments: In order to process credit card payments through Spektrix, you will be provided with a chip reader(s) at no cost through Spektrix Payment. We will help with the set up of these devices during implementation.
●Scanning Tickets: In order to scan the barcodes and QR codes on tickets, Spektrix is compatible with and supports Save, Janam and Zebra scanners.

Security
We take care of the maintenance,
development and operations of our software
so you can focus on what you do best.

1. DATA IN TRANSIT PROTECTION
The Spektrix web applications enforce encrypted communication using HTTPS for our clients, their customers booking online and any external systems that use our API.
Our clients’ customers come into contact with Spektrix when they’re booking tickets online. Whenever these customers are passing information between their device and our systems about themselves in order to make a booking, that happens securely over HTTPS.
Spektrix uses a 2048 bit key for encryption and supports secure encryption protocols (TLS v1.2 and above for payment
processing). SSL protocols are not supported and the Spektrix applications will refuse connections using those protocols.
2. ASSET PROTECTION AND RESILIENCE
Spektrix is ISO270001 certified, an internationally recognized standard, demonstrating our commitment to constantly assessing and managing information security risk.
The main Spektrix application is located in Microsoft Azure data centers, which comply with key industry standards including ISO/IEC 27001:2013 and NIST SP 800-53. Microsoft designs, builds, and operates data centers in a way that strictly controls physical access to the areas where data is stored, with a layered approach to physical security to reduce the risk of unauthorised users gaining physical access to data and the data center resources.
Spektrix is the leading provider of cloud-based box
office, marketing and fundraising software for the arts.
We provide Spektrix on a Software as a Service (SaaS)
basis. That means we look after the maintenance,
development and day-to-day operations of our software
so that our clients can get on with running their
business.
We know that our clients rely on our ability to safely
and securely provide access to Spektrix 24/7 so that
Spektrix is always available. Over 650 clients entrust us with their data and we take looking after it extremely
seriously.
If you have specific questions about how we manage
the security of our services, you’ll find the answers here.

4. GOVERNANCE FRAMEWORK
We adopt our own bespoke governance and quality assurance procedures, developed specifically with and for our clients. Our ISO 27001 certification and PCI Level 1 merchant agent
compliance certification requires us to have robust QA processes in place and documentation of maintenance of a secure internal network, protection of cardholder data, implementation of access control measures, regular monitoring and testing of networks and management of a comprehensive information security policy.
Our own governance framework is managed by our Chief Security Officer and is comprised of:
>A risk management plan and incident management plan
which is tested at least annually
>Regular meetings within our infrastructure team to review security practices and procedures
>An information security policy which is regularly reviewed and updated.
>An ongoing cyber security awareness training program for all Spektrix staff.
As part of a Platform as a Service provision, Microsoft Azure provides all servers, firewalls, security, storage, networking, middleware and database management systems. Uninterruptible power supplies and vast banks of batteries ensure that electricity supply remains continuous if a short-term power disruption occurs. Emergency generators provide backup power for extended outages and planned maintenance. If a natural disaster occurs, the data center can use onsite fuel reserves.
Microsoft Azure ensures high availability through advanced monitoring and incident response, service support, and backup capability. The Microsoft Azure data centres where Spektrix data is located are geographically dispersed across Europe, with georeplication across locations. The application is hosted using resources which are intentionally spread between separate data centers within an Azure region. This means the application can continue to run in the unlikely event of a disaster or large scale outage in a data center building. Data is replicated continuously to a secondary data center in a different Azure region within one second, so we have the ability to restore any of our clients' Spektrix systems to any point in time in the event of a disaster.
3. SEPARATION BETWEEN USERS
As a true multi-tenant cloud-based application, clients of Spektrix share a single application layer. However, behind this, each Spektrix client has its own database instance within our infrastructure which is not connected to any other client database.
The system has been engineered from the ground up with
failsafes in place to ensure that the application layer can only ever access the correct database depending on the user making the request.
Spektrix Systems and Security306/25/2024 C18 29 of 92
6. PERSONNEL SECURITY
All Spektrix staff must pass a rigorous interview process before joining the team. A minimum of two references are obtained before the appointment is made. On joining the team, a
comprehensive induction and training plan is completed with every new staff member. This includes training them on our Data Protection Policy as well as IT security. In particular they are trained to ensure that whenever any personal data is transmitted, strong encryption technology must always be used.
All access to client data is highly controlled. Recruitment for individuals who have live infrastructure access involves a DBS check and rigorous training and supervision is carried out before any individual is allowed to access the live server infrastructure unsupervised.
5. OPERATIONAL SECURITY
Spektrix is committed to ensuring the quality and security of all operational processes throughout our organization. We constantly monitor the system for security threats using intrusion detection systems and an intrusion protection system. Sensitive customer data in our clients’ databases is stored within the system architecture, and all systems used by the Spektrix system are secure, using two-factor authentication wherever possible.
Our servers, office computers and other pieces of IT equipment are regularly patched with security updates . We perform regular vulnerability scans using best in class tools to help identify and remediate potential vulnerabilities and attack vectors.
We have a rigorous internal security practices to prevent the accidental release of code that is either unfinished or untested into our live environment. All changes are logged, tested and approved by our senior technical team before deployment.
The Spektrix offices can only be accessed by authorised personnel or by people accompanied by a Spektrix staff member. The offices are accessed via a key fob system and are locked and alarmed out of hours.
Spektrix Systems and Security406/25/2024 C18 30 of 92
8. SUPPLY CHAIN SECURITY
Some components of Spektrix are delivered by third parties we’ve integrated with. We’ve selected suppliers who we provide a best in class solution and are aligned to our thinking about the smart application of technology to the sector. We manage these relationships directly on your behalf, including all the technical work. These integrations work out of the box and there’s no technical configuration required on your part.
Email marketing: Spektrix has partnered with dotdigital. We manage and maintain the integration that automatically tracks campaign activity, writing clicks, opens subscribes and unsubscribes back to Spektrix automatically. We also support sophisticated A/B testing and a wide range of email automation features.
Security: The main Spektrix system uses Cloudflare as a global load balancer and benefits from Cloudflare DDOS and WAF protection observed through Cloudflare portal.
Spektrix Systems and Security5
7. SECURE DEVELOPMENT
The Spektrix Engineering team follows documented quality assurance practices during our software development life cycle (SDLC). We have a series of milestones during the cycle that all require Quality Gates to be met. No release goes out before going through all our Quality Gates. Our development and test processes are all documented on our Engineering wiki for all team members to reference. Our processes are automated using pipelines to ensure that every change follows the same rigorous process.
Every change to a Spektrix codebase, whether an infrastructure or software change, triggers a pipeline which runs a series of automated test and verification checks before being deployed to internal test environments for further testing. If any of these checks fail then the change will not progress to deployment.
Secure artefact storage and automated deployments are used to eliminate risk in deployment to production.
06/25/2024 C18 31 of 92
9. SECURE USER MANAGEMENT
Spektrix users access the system with a web browser over HTTPS. The system interface allows them to access and update existing data and add new data. It also allows them to change the configuration of their instance on the system and turn features on and off as they require.
Spektrix operates on a role basis and our users are able to restrict access to nominated individuals and control granular access rights to particular functions as required (for example, the ability to perform refunds or change segmentation models).
Access to Spektrix by our clients requires the use of a unique username and complex password. If the password is incorrectly entered three times, the user is locked out. It is the policy of Spektrix support not to unlock users in this scenario, referring them to an administrator user within their own organization to restore access, mitigating the risk of Spektrix support being asked to provide access to an unauthorised person.
10. IDENTITY AND AUTHENTICATION
Each person who requires access to the Spektrix system is required to have a unique username and password. Passwords must be a minimum of eight characters in length and contain a combination of alphanumeric and non-alphanumeric characters.
Repeated failed attempts to enter passwords will lock user accounts.
Hosting provider: The Spektrix application is located in Microsoft Azure data centers, which comply with key industry standards including ISO/IEC 27001:2013 and NIST SP 800-53. As part of a Platform as a Service provision, Microsoft Azure provides all servers, firewalls, security, storage, networking, middleware and database management systems.
Disaster recovery: The Microsoft Azure data centers where Spektrix data is located are geographically dispersed across Europe, with georeplication across locations.
PCI-DSS: Spektrix contracts with external companies to run annual penetration tests and auditing. The Spektrix platform became PCI-DSS Level 1 Compliant in June 2013 and our current Attestation of Compliance is available on request. Further information is available from the Spektrix team upon request, including:
> Our latest PCI level certification
> PCI certification documents from our payment providers Spektrix Systems and Security606/25/2024 C18 32 of 92
12. SECURE SERVICE ADMINISTRATION
All Spektrix staff acting as administrators of the service will go through rigorous recruitment and training processes as described above. Staff are monitored and supported by managers and all activities they undertake in the system can be audited.
13. AUDIT INFORMATION FOR USERS
Within the Spektrix interface, users can see an audit of activity against key areas. These include: the creation of and edits to customer records; the creation of and edits to events; and the creation of and edits to transactions. The audit identifies the date of the activity, the type of activity and which user of the system made the change. Should additional auditing be required beyond what is available in the interface, requests for further detail can be made to the Spektrix Support team.
14. SECURE USE OF THE SERVICE
As part of any implementation, Spektrix will provide full training on the use of the system, highlighting best practice for the secure use of the system. However, responsible use of the software and the data it contains remains the responsibility of the client.
Users are granted access to specific 'modules' of the systems as required, including Sales, Marketing, Admin, Fundraising, Settings and Website Configuration. Users can be given operator or administrator rights to control what functions they can carry out.
Following the initial configuration of the system during implementation, the client will need to assign user(s) with sufficient permissions to manager user accounts. The Spektrix team will not create new accounts nor reset passwords for individual users.
11. EXTERNAL INTERFACE PROTECTION
Spektrix is accessed via a web browser. Access to the system by users at the venue is via a secure connection and with a username and password as described above. In addition, we offer IP-based access restrictions as required, so that only terminals within a specific public IP addresses can have access to a specific Spektrix system, preventing unauthorised access offsite.
Customers purchasing tickets online will interact with Spektrix via a secure connection either through the Spektrix iframes or Spektrix API, depending on the method of integration chosen by the client.
The Spektrix Agency API facilitates the sale of ticket inventory by third party ticket agents. Secure access to the API is granted with two factor authentication.

transmits account data.
Spektrix’s client-embedded software API does not store
any cardholder data; it is only kept in Random Access
Memory (RAM) while the transaction is being
processed. The transaction processing phase happens
while the cardholder data is sent to the payment
services provider, together with an identifier
(Transaction ID - TX Code). After the response of the
payment services provider, this identifier is then stored indefinitely for refund and transaction re-presentation purposes, together with the masked PAN (first 6 + last
4 digits) involved in the transaction.
The activity of Spektrix can therefore be characterized as that of a payment gateway, accepting transactions
and routing them securely to their destination.

type of sensitive authentication data are never stored in Spektrix's central databases; Spektrix has no business
need to store any cardholder data. Its only business
interest is to store the transaction ID for refund
purposes (a process which is handled by the
acquirers).
All systems supporting the transmission of cardholder
data, together with their supporting databases, are
hosted within Microsoft Azure, a PCI DSS compliant
entity.
Describe how the business is otherwise involved in or
has the ability to impact the security of its customers’ account data.
Spektrix is responsible for creating and running the
software client applications that the client companies
use to collect and send the card information for
processment.
No other type of processing takes place that can impact the security of cardholder data.
Describe system components that could impact the
security of account data.

Part 2c. Description of Payment Card Environment
Provide a high-level description of the environment covered by this Assessment.
For example:
• Connections into and out of the cardholder data
environment (CDE).
• Critical system components within the CDE, such as POI devices, databases, web servers, etc., and any other
necessary payment components, as applicable.
• System components that could impact the security of
account data.
The assessment focused on Spektrix's
cardholder data environment hosted at
Microsoft Azure, Spektrix's connections to its
acquirers, the in-house developed payment
application and its software developers along
with the systems processing cardholder data.
Indicate whether the environment includes segmentation to reduce the scope of the Assessment.

Spektrix is delivered as “Software as a Service” (SaaS) which means we provide a full stack of technology and service in exchange for a single service charge. This means that instead of hidden costs and having to pay separately for different components, you pay a single charge and get everything you need. Here’s how it will work:
●We’ve calculated the Est. Annual Earned Revenue range based on the sales figures provided to us in the RFP documents equating to $3,800,000.
This breaks down as follows:
○A $78,000 annual minimum fee, which covers up to $4,000,000 in sales
○A 1.2% charge on any sales over $4,000,000
●We do not charge on unpaid (comp) items (tickets).
●The Spektrix service charge applies to all earned revenue you process through the system (tickets, subscriptions, merchandise, taxes, fees, etc.) and excludes donations. Donations are processed for free. ●We don’t start charging this fee until you are live with Spektrix, and we bill in monthly installments so it’s cashflow friendly.
●Three Year Discount: For Moonlight’s first three year term, Spektrix will discount total charges by 17% in year one, 11% in year two and 5% in year three. Please see next page for a complete price estimate breakdown across first three years.

OUR PRICING EXPLAINED
Spektrix is Software as a Service which means instead of paying separately for different components of what we offer, our clients pay us an ongoing service charge related to the value of items they sell through the platform. In return, we provide pretty much everything you need.
You’ll benefit from absolutely no upfront costs, and no unexpected, additional invoices.
This lets you budget the service charge across the year, spreading out your cash flow.
And while the service charge only represents a fraction of your annual revenue, you benefit from a cutting edge system and exceptional consultative support, all specifically geared toward helping you to maximize revenue, create efficiencies and reach your business goals.
We’ve chosen SaaS as the commercial model for Spektrix because it means we’re able to continuously reinvest in our platform and our people, and you can access cutting-edge tools that are constantly updated alongside world-class support. Because we rely on regular monthly income from our clients, we’re not chasing large, upfront capital licence fees. That means we can invest in developing an amazing product while focusing on the relationship with all of our clients, however long they’ve been with us.
MAKE MONEY
Spektrix has been designed from the ground up to help you make more money — from offers and promotions, automated cross-selling and up-selling tools, through to subscriptions, memberships and merchandise, we’ll help you maximize revenue.
SAVE MONEY
Spektrix can also help streamline your operation, saving your team time on a daily basis. The system is quick and easy to use, reliable, transparent and comes packed with tools to make your lives easier, including scheduled reporting, audience analysis tools, integrated email marketing and easy set-up wizards that push to your website so you don't have to duplicate tasks.
Hot Tix in Chicago said they were saving 30 minutes each day per box office personnel because of the ease of use of the system. And Curious Theatre Company in Denver found that their Patron Services Manager gained back 15 hours per week taking advantage of automated reports, automated reminder emails, and a more streamlined online buying process (which has led to 30% more tickets being purchased online rather than over the phone). 2
