ST
ATEMENT ON THE SUBJECT: The vehicle exhaust venting systems at Fire Stations 1, 2, 4, 5, and 6 are outdated and require renovation. These systems are essential for removing harmful exhaust fumes from the Fire apparatus bays. The proposed system upgrades include high‑ efficiency exhaust fans, advanced filtration units, and wireless transmitters and receivers. These enhancements will significantly improve the system’s ability to remove exhaust fumes, optimize air flow and strengthen filtration, supporting a healthy work environment.

Al
l parts and devices for the existing vehicle exhaust venting systems are proprietary to Plymovent. The Reinhart Corporation DBA AAIR Purification Systems (Reinhart) is the sole distributor and installer of the required Plymovent components in our region. Therefore, staff recommend forgoing the normal bidding procedure under the City’s Municipal Code Section 3.08.150 N , when the commodity or service can be obtained from only one vendor. A detailed memo is attached as Exhibit 3.

FI
SCAL IMPACT: The cost to upgrade the vehicle exhaust venting systems at Fire Stations 1, 2, 4, 5, and 6 is $270,594.95. With an added 10% contingency the project has a total budget of $297,654.45. Sufficient funding is available in Fiscal Year 2025/26 Capital Improvement Budget for Capital Improvement Project (CIP) No. 8393 Fire Station Exhaust Extraction System Replacement, in Source Appropriation Account No. 0026556.578999.8393.
