RECOMMENDATION
Adopt Resolution Number 26-4401 approving budget adjustment of $75,000 to the Capital Projects Community Center Enhancements CF-0022.
DISCUSSION/BACKGROUND
The Community Center's new Bud’s BBQ constructed in 2025, has quickly become a popular destination for local residents and Town hosted events. Since its completion, the space has hosted a variety of community gatherings, including organized events for emergency preparedness. Bud’s BBQ area currently lacks adequate shade, which limits its usability during warmer months and discourages community gatherings and events.
Installing a retractable shade system would greatly enhance the comfort of patrons, encouraging increased use of the space for family picnics, celebrations, and public programs. This improvement aligns with the community's desire for more accessible and inviting outdoor amenities.
To address this need, staff recommends a budget adjustment to allocate $75,000 from the Capital Improvement Project (CIP) CF-0040 Community Center/Hall Solar Panel Repair, Replacement, and Maintenance in fund 81 to the CF-0022 Community Center Enhancements in fund 50 specifically for the installation of a retractable shade system at the Bud’s BBQ area. As part of project CF-0040 Community Center/Hall Solar Panel Repair, Replacement, and Maintenance, staff hired a consultant to assess the condition of the existing solar panels at the Community Center. The solar panels were deemed to be in suitable condition and do not require replacement at this time. Staff would like to reallocate the savings from project CF-0040 to fill the budget required to move forward with project CF-0022. This reallocation will be utilized to finalize the design of the retractable shade system and complete the installation.
Once the design plans for the retractable shade system are finalized, Town staff will utilize all required bidding methods to select qualified contractors for construction. This approach ensures transparency and compliance with municipal procurement standards, resulting in a high-quality enhancement for the Community Center.
The required budget adjustment is as follows:
Current available Fund 81 for CF-0040: $ 148,000
Current available Fund 50 for CF-0022: $ 43,000
Reallocation from CF-0040 to CF-0022: $ 75,000
Town staff is requesting Council approve of a budget adjustment of $75,000 from fund 81 project CF-0040 to fund 50 project CF-0022.
