RECOMMENDATION:
That City Council approve a Track and Field Meet at Yucaipa High School as proposed by the Parks and Recreation Commission.
DISCUSSION:
The Parks and Recreation Commission (PRC) is currently comprised of five members and meets on a monthly basis. This year the PRC would like to organize a Track and Field Meet (Event) for 3Cd through 51h graders. The PRC proposes that the Event take place at Yucaipa High School in the Stadium. The Event will include a 50 Meter Dash, 100 Meter Dash, 200 Meter Dash, 400 Meter Dash, Long Jump, and Softball Throw. If approved, the PRC will work with the Yucaipa Calimesa School District to secure the location and provide marketing materials to students. Set-up will take place from 6:00 a.m. to 8:00 a.m., the Event will begin at 8:45 a.m. and is estimated to end by 1:00 p.m. with clean-up taking place immediately following the Event. The PRC is recommending an event fee of $5 per person.
The objective of the Event is to provide a competitive athletic activity for Yd through 5th graders in the community. If approved, staff will continue to meet with the PRC to help execute the details of the event.
FISCAL IMPACT:
The Fiscal Year 2021 /2022 Adopted Budget does not include expenses for this event, however there is adequate funding in the Sports Division expenditure account to cover the costs of the Event. The estimated costs for the Event will be approximately $1,000 related to the timing system, ribbons, and part-time staff. The estimated revenue for the event is in the amount of $500 and is based on charging a fee of $5 per person for an estimate of 100 participants.
