2. Approve and authorize the City Manager to execute the purchase of two (2) light -duty trucks for the Public Works Street Maintenance Division in the not to exceed amount of $105,000; and
3. Approve an amendment to the FY24 Budget in the amount of $20,000 for capital in the Non -Departmental division of the General Fund; and
4. Authorize the City Manager to purchase one (1) passenger vehicle for use by City staff as a pool car to conduct City business in the not to exceed amount of $55,000.
BACKGROUND/ DISCUSSION:
The City's current vehicle and equipment fleet inventory includes many types of vehicles used by various departments to provide City services to the public. Over the years, these vehicles have included light -duty trucks used by the Public Works Street Maintenance Division and passenger vehicles used by City staff as pool cars to conduct City business on an as needed basis.
The Public Works Street Maintenance Division uses light -duty trucks to transport City staff, material, and equipment as part of their daily street related maintenance activities. These light -duty trucks are specifically used daily to haul trailers with larger equipment, including the asphalt and pothole repair equipment trailer used to maintain City asphalt streets. Two of the light -duty trucks currently in the City's fleet are approximately ten (10) years old. One of the trucks is no longer able to haul the asphalt/pothole repair trailer and the other truck is approaching its useful life. These two trucks could continue to be used by Public Works staff for a few more years to transport lighter materials and smaller equipment as part of daily maintenance operations. The cost of the replacement trucks is eligible to be funded through the City's Gas Tax program.
The City's vehicle fleet also includes a Ford Explorer currently used by City staff as a pool car. The City is currently recruiting for an additional Code Enforcement officer. A position which was approved by the City Council and included in the adopted FY24 Budget. With the additional Code Enforcement officer, staff is anticipating moving the current pool car to the Code Enforcement division for use by the additional officer. As such, a new pool car would be needed for use by City staff to conduct City business as needed.
The purchase of these vehicles would enhance City staff s ability to continue to provide customer service to the public and is consistent with several of the City Council goals included in the adopted FY24 Budget including:
• Establish a vehicle and equipment fleet maintenance program. • Take a more inclusive and aggressive approach to asphalt street maintenance. • Update City staffing levels to reflect current workload.
As a result, staff is recommending the City Council approve the purchase of the vehicles identified in this report.
FISCAL IMPACT:
The fiscal impact of the two Public Works light -duty trucks is $105,000 requiring a budget adjustment of $105,000 in the Public Works Street Maintenance division of the Gas Tax Fund.
The fiscal impact of the City vehicle fleet pool car is $55,000 requiring a budget amendment of $20,000 (to supplement the previously budgeted $35,000) in the Non -Departmental division of the General Fund.
