CITY OF YUCAIPA

AGENDA REPORT
TO: Honorable Mayor and City Council
FROM: Fermin Preciado, Director of Development Services/City Engineer Scott Washburn, Deputy Director of Public Works y„ S
Todd Gutjahr, Public Works AnalysrO
FOR: City Council Meeting of December 9, 2024
SUBJECT: Contract Amendment No. 4 with Allison Mechanical, Inc. for HVAC Operations and Maintenance Services at Various City -Owned Public Facilities RECOMMENDATION:

That the City Council authorize the City Manager to execute Contract Amendment No. 4 with Allison Mechanical, Inc. for HVAC Operations and Maintenance Services at Various City -Owned Public Facilities (Program) in the amount of $33,795 for HVAC system repairs at City facilities for a revised contract total in the amount of $150,853 for FY25.

BACKGROUND/DISCUSSION:

On June 24, 2024, the City Council approved the Second Extension and Contract Amendment No. 3 with Allison Mechanical, Inc. for FY25 in the not -to -exceed amount of $117,058, which includes $80,000 for as -needed repairs and $37,058 for monthly maintenance, for the Program. At that time, $80,000 was determined to be an appropriate amount to fund any required unanticipated HVAC system . repairs for FY25.

In July 2024, one of the primary HVAC systems at the Yucaipa Performing Arts Center (YPAC) experienced a catastrophic failure of the condensing unit. After investigating the system, staff concluded that it would be more efficient to replace the outdated condensing unit entirely rather than attempt to find parts that are no longer being produced for the existing unit.

As a result, the proposed Amendment No. 4 will allow for the replacement of the outdated condensing units at the YPAC
FISCAL IMPACT:

The cost associated with the recommendation is included in the FY25 Annual Budget.
