SUBJECT:

Madera Rotary Club Donation of $1,000 during FY 2023/24 RECOMMENDATION:

1. Adopt a Resolution Accepting Madera Rotary Club’s Donation of $1,000.

2. Adopt a Resolution Amending the City’s Fiscal Year 2023/24 Budget approving a related revenue and expenditure line item relating to the appropriation of Madera Rotary Club’s $1,000 donation amount.

SUMMARY:

The City recently received a donation of $1,000 from the Madera Rotary Club. Staff recommends appropriating the funds in the City’s Fiscal Year 2023/24 Budget to allow for expenditure.

DISCUSSION:

On November 2, 2023, Parks & Community Services Director Joseph Hebert, presented before the Madera Rotary Club. The Madera Rotary Club requested an informational presentation about the Parks & Community Services Department's current projects and initiatives. During the presentation, the Madera Rotary Club committed to a $1,000 donation, specifically for improvements at Rotary Park.

It is worth noting that the Madera Rotary Club is an integral part of the esteemed Rotary International organization. Rotary International is renowned for its commitment to uniting neighbors, friends, leaders, and problem-solvers with the shared goal of taking impactful actions to bring about lasting change. This global organization's mission resonates deeply with our community values, emphasizing positive transformations not only on a local scale but also on a global level. The support and dedication of the Madera Rotary Club align with the principles of _________________________________ Agenda Number: D-8
Joseph Hebert, Parks & Community Services Director
Rotary International, and we are grateful for their collaborative efforts in fostering positive change within our city.

Moreover, the City has successfully received the $1,000 donation from the Madera Rotary Club.

Since then, City staff has been diligently working to ensure that the funds are utilized in accordance with the Rotary Club's request. In line with their wishes, the entirety of the donation will be directed towards enhancing Rotary Park. Specifically, the funds will be allocated for the improvement of park signage and landscaping, contributing to the overall beautification and functionality of this community space.

FINANCIAL IMPACT:

This amendment aims to formally recognize the corresponding revenue of $1,000. The funds will be deposited into the Parks Maintenance budget #10206100-4301 account, aligning with the purpose specified by the Madera Rotary Club.

Furthermore, it is proposed to appropriate the entirety of the donated amount, $1,000, into the Parks Maintenance budget #10206100-6428 expense line. This allocation will facilitate the seamless utilization of the funds for the intended purpose, specifically for improvements such as park signage and landscaping at Rotary Park.

ALTERNATIVES:

Should the Council elect not to accept the donation, the staff would initiate the process of reverting the funds back to the Madera Rotary Club.

This decision, if made, would involve the necessary administrative steps to return the donation promptly and in adherence to any applicable regulations or agreements. Clear communication with the Madera Rotary Club would be paramount in conveying the Council's decision and facilitating the proper procedures for the return of the funds.
